The NHMLAC is seeking a Collections Technician/Assistant Registrar, Capital Improvement for our Finance department.  The Collections Technician/Assistant Registrar, Capital Improvement is responsible for maintaining the integrity of the collection through accurate specimen tracking, digital documentation, and safe handling.

Requirements

  • Bachelor’s degree in a related field (e.g., Museum Studies, Anthropology, Paleontology, Archaeology, History, or sciences) or equivalent hands-on collections experience.
  • Strong knowledge and understanding of museum registration methods and collections management best practices.
  • Minimum 1–2 years of experience in museum registration, specifically regarding inventory control and chain of custody.
  • Proficiency in Axiell EMuCollections Management Systems or similar complex collections database management software.
  • High attention to detail and strong manual dexterity.
  • Demonstrated ability to follow complex, multi-step instructions accurately.

Responsibilities

  • Digitally document specimens and containers prior to packing and movement using approved forms, spreadsheets, and collections database management software (e.g., Axiell EMu Collections Management Systems) and related tracking tools.
  • Track specimen and container movement during active move days, ensuring accurate location updates, chain-of-custody records, and inventory reconciliation.
  • Verify object counts, container labels, and documentation at each stage of the move (origin, transit, and destination).
  • Maintain clear, organized relocation records to support post-move audits, reconciliation, and reporting.
  • Communicate discrepancies, delays, or documentation issues immediately to the Project Manager, or Collections Managers.
  • Generate daily or weekly progress reports for the Project Manager regarding packing volume and movement status.
