About The Position

Summary: The Closing Coordinator manages the final stages of real estate transactions, serving as the primary liaison among buyers, sellers, real estate agents, lenders, attorneys, and title companies. This role ensures that all legal documents, contracts, and disclosures are accurately prepared, reviewed, executed, and filed to support a timely, complaint, and seamless transfer of property ownership. Key Responsibilities: Document Management Prepare, review, and organize all closing-related documents, including deeds, settlement statements, contracts, and disclosures. Verify accuracy, completeness, and compliance with legal, regulatory, and company standards. Liaison & Communication Act as the central point of contact for attorneys, title companies, mortgage lenders, real estate agents, and clients. Proactively communicate transaction status, requirements, and deadlines to all parties involved. Closing Logistics Schedule and coordinate closings, final walkthroughs, and document signings. Ensure all required conditions are satisfied prior to closing and that documents are properly executed. Title & Escrow Coordination Collaborate with title and escrow companies to resolve title issues, clear discrepancies, and facilitate issuance of title insurance. Track outstanding items and follow up to ensure timely resolution. Compliance & Filing Ensure all transactions comply with applicable federal, state, and local regulations. Maintain accurate, organized, and up-to-date transaction files in accordance with record retention policies.

Requirements

  • Proven experience in real estate transactions, escrow, mortgage lending, or a related field.
  • Demonstrated ability to review legal and financial documents with a high degree of accuracy.
  • Strong verbal and written communication skills, with the ability to manage multiple stakeholders.
  • Excellent time-management skills and the ability to handle multiple files under tight deadlines.
  • Proficient in real estate transaction software and Microsoft Office (Word, Excel, Outlook).
  • Work occasionally requires a high level of mental effort and attention to detail while producing a high volume of information and performing other essential duties.
  • Work occasionally requires more than 37.5 hours per week to perform the essential duties of the position; it may require irregular hours.
  • High school diploma or equivalent required; college degree preferred.
  • Working knowledge of real estate law and closing procedures.

Nice To Haves

  • Notary public license preferred, where applicable.
