About The Position

The CLM & Contracts Administrator is a technology-focused contract operations role responsible for administering the Contract Lifecycle Management (CLM) / Contracts Management System (CMS) and supporting contract administration through analytics, reporting, documentation, compliance coordination, and process management. This role partners closely with stakeholders to ensure contracts, data, and workflows are managed accurately, efficiently, and in alignment with established processes and templates.

Requirements

  • Bachelor’s degree or associate’s degree in business administration, law, or a related field preferred
  • 3+ years of experience in contract administration, contract operations, or paralegal support
  • Proven experience in a Contract Administrator or similar operational support role
  • Basic understanding of contract management principles and best practices
  • Strong attention to detail with the ability to review and manage complex legal documents
  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with CLM / CMS tools strongly preferred
  • Strong written and verbal communication skills with internal and external stakeholders
  • Ability to obtain and maintain credentials to serve as a Notary Public for the department

Responsibilities

  • Serve as a primary administrator and power user of the CLM / Contracts Management System (CMS)
  • Maintain and manage contract records, metadata, workflows, templates, and reporting within the CMS
  • Ensure accuracy, completeness, and integrity of contract data throughout the contract lifecycle
  • Run standard and ad-hoc reports related to contract status, renewals, compliance, and operational metrics
  • Support system enhancements, testing, documentation, and continuous process improvements
  • Draft and edit contract-related documents using approved templates and guidance
  • Draft, edit, and manage retention of written correspondence in accordance with company policies
  • Coordinate document routing for review, approval, and execution
  • Prepare Contract Compliance Documents (CCDs) and coordinate assignment to subject matter experts
  • Create, submit, track, and manage Voting Surveys related to Global Conflict of Interest and Employee Due Diligence, as required by contract terms
  • Provide internal and external audit support, including document collection, reporting, and status tracking
  • Support compliance with contractual requirements, internal policies, and document retention standards
  • Maintain and produce contract analytics, dashboards, and operational reports within the CLM / CMS
  • Coordinate contract signature and approval cycles, including internal and external stakeholders
  • Collaborate with cross-functional teams to ensure alignment on contractual requirements, documentation, and timelines
  • Provide meeting coordination and administrative support, including scheduling meetings, preparing agendas, and tracking attendance and follow-ups
  • Perform other duties as assigned in support of contract and legal operations, including assisting the VP, Contracts & Digital Transformation with administrative tasks.
