Summary: The Clinic Support Specialist supports Bridgewell's mission by assisting with the flow of administrative processes at Bridgewell Counseling Services, Amesbury, Bridgewell Counseling Services Lowell, and The Sovner Center. The role requires a blend of administrative leadership, patient coordination oversight, and hands-on operational tasks. Schedule: Monday-Friday 9:00am-5:00pm (40 hours per week)

Requirements

  • A minimum of a High School diploma is required ;
  • At least 2-3 years of experience working in a similar position is required or 2-3 years of experience working with medical records or in patient care coordinator position is required.
  • Candidates must possess a demonstrated ability to function effectively as a member of a team in a fast-paced environment
  • Conflict Resolution and problem-solving skills.
  • Excellent organizational skills and both written and verbal communications skills.
  • Computer literacy to include ability to proficiently use Microsoft products and web-based applications supported by the agency.
  • Ability to work as a cohesive team member with other inter-disciplinary team members
  • Competent in technology including the ability to use proficiently different EMR systems.
  • Must have a current US driver's license and one year of driving experience.

  • Prolonged periods sitting at a desk and working on a computer.

  • The employee must be able to travel off-site to program locations if needed.
  • Ability to be certified and maintain such certification, in PPS, PABC Tier 1 and 2, medication administration, First Aid/CPR and any other certification/training required based on program needs and Bridgewell policies and procedures.
  • Requires acceptable CORI results according to Bridgewell policy.

Nice To Haves

  • Bachelor's degree in related field preferred.
  • Previous experience working with adults with disabilities preferred.

Responsibilities

  • Collaborate with the Clinic Directors to identify, develop, and implement process improvements within patient care coordination, optimizing clinic workflow and operational efficiency.
  • Manage medical records requests and affidavits.
  • Run monthly reports, including inactive client reports, to oversee the maintenance of the active client roster.
  • Assist with Prior Authorizations (PAs) and refill issues as needed.
  • Provide support to the MID program, working collaboratively with the Clinic Director at BCS Lowell and assisting with data entry into the state EIM system as well as generating reports for probation
  • Monitor and maintain office supplies.
  • Provide front desk coverage as needed.
  • Process all incoming VNA 485's and act as liaison with visiting nurse companies.
  • Assist with management of client payment agreements and the collection of past due balances for clinic clients.
  • Process PT-1's for clients as necessary.
  • Assists the Clinic Director with the training and on-boarding of the Patient Care Coordinators for BCS Lowell, BCS Amesbury and The Sovner Center.
  • Provides Patient Care Coordinator coverage when needed in any of the BCS Lowell, BCS Amesbury and The Sovner Center.
  • Demonstrate the core philosophy of universal supports by embracing Bridgewell's core values: dignity, respect, caring, integrity, safety and wellness
  • Maintains core training certifications including FA/CPR, PABC and all other mandatory training courses based on Bridgewell's policies and procedures.
  • Other duties as assigned.
