About The Position

The Clinical Support Coordinator has the primary responsibility for delivering Behavioral Health objectives under the Chief Clinical Officer's oversight, while also providing shared administrative supports to Behavioral Health Senior Leaders. The Coordinator assists with driving and tracking key initiatives forward while continuing to provide administrative coordination and support. The role is ideal for someone who has demonstrated outstanding customer service, strong organizational and communication skills and is ready to expand into project management type of tasks within our mission-driven nonprofit environment.

  • Must be able to sit or stand in front of a computer for hours at a time.
  • Must be able to travel throughout the Hudson Valley and NYC regions.
  • Must be able to navigate multi-storied building and willing to work independently.

Responsibilities

  • Assist with planning, organizing, and tracking progress on departmental projects and tasks.
  • Support the development of project timelines, deliverables, and task assignments in coordination with executive staff.
  • Track delivery of these tasks and offer support to the leaders to ensure that tasks are completed.
  • Monitor project deadlines, follow up with team members, and provide status updates.
  • Coordinate site visits, and ensure timely completion of contracts and required documentation.
  • Research and identify grant opportunities that align with organizational goals and funding needs.
  • Complete research of clinical topics and update Behavioral Health Leaders on the most updated research and outcomes.
  • Prepare and support submission of compelling grant proposals, letters of inquiry, and supporting documentation.
  • Track deadlines and ensure timely submission of grant applications and required reports.
  • Manage Chief Clinical Officer’s schedule in real time.
  • Provide scheduling, calendar management for CCO and other Senior and Medical Leaders.
  • Bring urgent items in real time to leaders’attention
  • Coordinates registration for events and conferences, including out of area travel, for Behavioral Health leaders to include travel, transportation and/or lodging.
  • Help compile data and materials for board meetings, strategic discussions, and leadership communications.
  • Draft and edit correspondence, emails, memos, letters, spreadsheets, and reports.
  • Record follow up tasks in key leadership meetings.
  • Ensuring all CCO’s and Behavioral Health leaders’ meeting tasks are assigned and tracked through completion
  • Manages mail distribution per protocol.
  • Manage on call assignments.
  • Prepare for onsite meetings by ensuring conference room/space availability, printed agendas and other items needed.
  • Serves as point of contact for Behavioral health leaders across multiple counties by greeting, directing and guiding visitors, callers, and employees, as needed.
  • Provides phone support and customer service expertise with answering, routing, and returning calls in a timely and efficient manner.
  • Coordinates, organizes, schedules and de-conflicts CCO and other leaders’ calendars.
  • Oversees office support functions to include, replenishment and ordering of office supplies, placing maintenance work orders and general office duties.
  • Support special projects as assigned by leadership.
  • Reconcile agency credit card for CCO and two VPs.
