Drafts, maintains, and publishes Site and service location Master Provider Schedules by analyzing case scheduling data and forecasting scheduling resource needs based on Vituity contracted or location agreement coverage including clinical specialty coverage requirements. Includes scheduling for all Vituity providers and locums to fill all required positions each day based on the individual Site’s scheduling guidelines and individual provider preferences/needs including on-call coverage, approved vacations, conference, and facility meeting attendance, leaves of absence, etc. Places requests for Locum providers through Vituity Contingency Staffing; identifies dates and shifts needed. Ensures all clinical and call assignment positions are covered daily with credentialed and qualified providers. Coordinates with other Site schedulers to provide across-site scheduling to ensure full and consistent coverage for all service locations regardless of volume demands or time-off coverage needs. Maintains provider availability resource list to ensure coverage of additional service requests in advance or day-of as needed. Works closely with the Operations Leaders and Site Medical Directors to identify scheduling demands, predict future coverage issues/complications, and make recommendations for alternative/creative solutions. Coordinates with Site Practice Administrator(s) for up-to-date and accurate credentialing information for new and locum providers, ensuring all start dates and hospital and clinical orientation is included on the master schedule. Verifies re-credentialing information of current partners to ensure appropriate provider assignments. Demonstrates consistency and accuracy in scheduling and daily assignments. Consistently meets all scheduling deadlines. Gathers and organizes scheduled case information from multiple service locations/facilities throughout the assigned Anesthesia Practice Line Sites from Operating Room (OR) schedulers, charge nurses, hospital nursing supervisors, as well as through direct access to hospital clinical information scheduling systems (Cerner, Meditech, SIS and other scheduling systems). Maintains provider availability resource list to ensure coverage of additional service requests in advance or day-of as needed. Builds a strong rapport with site-specific OR schedulers, charge nurses, nursing supervisors, providers, peers, and supervisor, as well as overall scheduling team. Maintains confidentiality of all scheduling and protected health information (PHI); ensures all scheduling documents are kept physically secure and electronic documents and data are saved only in the designated secure location. Works with Site Medical Director or designee to assess critical needs for Anesthesia locum resources across all Anesthesia sites. Works with Vituity Contingency Staffing Department, recruiting, and locum agencies to negotiate cost-effective Locum rates and ensures adequate supply of Locum resources for short-term provider needs. Communicates frequently with Medical Directors, site schedulers, agencies, and providers regarding scheduling needs and preferences. Works closely with the Medical Director and site schedulers to identify scheduling demands and predict future coverage issues/complications and recommends alternative/creative solutions. Coordinates with the Operations Manager and the Practice Administrator to manage, submit, and approve Locum compensation/time sheets based on individual Locum schedule. Serves as backup to Practice Administrator to review and approve Locum invoicing in Coupa. Manages and maintains the database of active and inactive Locum providers. Works with Medical Directors and Site schedulers to recognize and escalate any critical staffing issues within a contract; identifies and requests incentives such as shift bonuses to assist filling critical schedule shortages. Coordinates with Vituity and Locum recruiters for start dates of all new providers and conveys appropriate information to the Practice Administrator for Credentialing and Orientation scheduling. Ensures appropriate documentation from all contracts is completed, including contract rates and schedule date confirmations with agencies to ensure available dates accurately match schedule dates at the approved rates. Establishes and maintains all required locum tracking documents. Provides monthly and ad hoc locum summary reports to Medical Directors, Practice Administrators, Site Schedulers, Anesthesia Analysts, and Anesthesia Operations Leadership. Collaborate with Nursing Supervisor as needed to ensure Amion call schedule is up to date. Consistently meets all scheduling deadlines. Demonstrates consistency and accuracy in scheduling and daily assignments. Submits all personal vacation and time off requests to supervisor at least 30 days in advance. Discusses all concerns, challenges, and/or obstacles concerning work performance expectations with supervisor. Ensures timely and accurate completion of all scheduling documentation and summaries; verifies accuracy between documents. Assigns providers based on established guidelines and provider credentials. Completes Provider Scheduling Assignment documentation and communicates to providers. Maintains documentation of any future assignment requests and ensures requests are included on future schedules based on date of request. Provides coverage for same-day cases by identifying available providers and confirming provider’s availability for the case; communicates assignment to provider and facility. Utilizes computer scheduling software to expedite scheduling. Audits required compliance courses for Locums in Vituity University; works with agencies to ensure timely completion.
