The Medical Group provides a wide range of offerings, including primary care, specialty care, behavioral and mental health, urgent care, outpatient surgery and endoscopy, imaging, cardiac testing, and infusion, both digitally and at physical locations in Massachusetts, New Hampshire, and Maine. The Internal Medicine office, located at One Hutchinson Drive in Danvers, MA, provides physical examinations, routine health screenings, and preventative care for adults. This is a full-time, 40-hour Clinic/Practice Assistant position to support the practice onsite Monday through Friday from 8:30am to 5:00pm. The ideal candidate will have customer service or administrative experience and thrive working collaboratively with a team of 10 Clinic/Practice Assistants. The role involves performing both administrative and clinical functions to support smooth and efficient clinical service or practice operations under general supervision, performing basic clerical work and tasks that are repetitive and routine. Administrative duties are related to patient visits, including scheduling, check-in, and check-out duties.

Requirements

  • High School Diploma or Equivalent required
  • 2-3 years of office experience required

Nice To Haves

  • Certified Medical Administrative Assistant [CMAA] preferred

Responsibilities

  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office
  • Make patient appointments and maintain appointment records
  • Greet and assist patients
  • Answer telephones, assist callers with routine inquiries, and schedule appointments
  • File materials in patient folders, and print appointment schedules
  • Process patient billing forms and scan documents to patient medical record/LMR
  • Call for patient medical records and laboratory test results
  • Open and distribute unit mail or faxes
  • Type forms, records, schedules, memos, etc., as directed
  • May be required to accept co-payments
  • Handle, screen and/or take messages related to prior authorizations, provider questions, prescription refills, and test results
  • Act as "Super User" for scheduling, registration and billing systems
  • Provide assistance and training to others in these areas
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level
