We seek an exceptional individual to join our team as the Clinical Placement/Document Team Coordinator (Administrative Support Coordinator I). The Clinical Placement/Document Team Coordinator will provide comprehensive administrative, clerical, and coordination support to the School of Nursing (SON) clinical placement function for undergraduate and graduate students. The coordinator's primary responsibility will be serving as the Clinical Placement Coordinator for the School of Nursing, encompassing a large-scale program with over 1,000 students within the College of Health and Human Development (HHD). Support and coordinate various administrative support tasks with a special emphasis on coordinating affiliation agreements, supporting clinical requests, student placements, and ensuring student document compliance for core documents and facility-specific requirements. A key aspect of this role will involve reading and interpreting documentation required for the clinical/practicum clearance procedure. To maintain the highest level of confidentiality, must strictly adhere to Health Insurance Portability and Accountability Act (HIPAA) and Family Educational Rights and Privacy Act (FERPA) guidelines. Under the guidance of the Clinical Placement Analyst and others, this role will provide support for student clinical placement, orientation, and health-related requirements. Involve gathering and organizing pertinent student data as requested, synthesizing information, and preparing reports. Other duties as assigned.

Requirements

  • High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent.
  • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Thorough knowledge of office systems with the ability to use a range of technology, systems and software packages.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply a variety of policies and procedures where specific guidelines may not exist.
  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.
  • A background check (including a criminal records check) must be completed satisfactorily and is required for employment.
  • A valid California driver's license.

Nice To Haves

  • Bachelor's degree from an accredited four-year college or university or its equivalent and has experience working in an academic or higher education setting.
  • Possess knowledge or experience with the CMS (PeopleSoft) program and understand the health requirements needed for clinical placements, such as vaccine series and laboratory titers.
  • Additionally, they have experience in nursing or other healthcare professionals' clinical placement, including the use of software such as Castle Branch that supports such placements.
