About The Position

Under the direct supervision of the Operations Manager, the Clinic Operations Specialist is responsible for ensuring that all Roots medical clinics’ supplies and inventory are continuously stocked, up to date, and in compliance. Serves as a member of the overall Operations team, supporting program and service operational functions as assigned. Supports Operations and Clinical teams in maintaining a continuous state of facility audit-readiness.

Requirements

  • 2 years’ experience in a clinic setting.
  • Valid CA Driver License
  • Familiarity with Clinic supplies and equipment.
  • Familiarity with CA Department of Public Health clinic licensing requirements, Department of Managed Health Care requirements, and other regulatory requirements.
  • Familiarity with Excel/Google Sheets, maintaining inventory and ordering systems.
  • Ability to multitask, prioritize, provide direction, follow oral and written instructions and maintain effective working relationships with staff, and clients.
  • Strong interpersonal, listening and communication skills.
  • Ability to work independently with minimal supervision and as a part of a team.

Responsibilities

  • Order clinic consumables and ensure inventory is stocked, labeled and organized appropriately.
  • Track and inventory all clinic equipment.
  • Ensure all refrigeration and other clinic equipment are calibrated according to the required maintenance schedule to ensure all safety regulations are met at all times.
  • Maintain up to date clinic emergency kits.
  • Keep clinics up to date according to state license and other regulatory requirements.
  • Physically stock and maintain clinic supply closets, exam room drawers/cabinets, and storage areas.
  • Ensure medical and hazardous waste is collected per schedule and, in conjunction with Operations Manager ensure schedule is adequate to maintain environmental safety.
  • Immediately alert the COO and Operations Manager of any unusual occurrences.
  • Immediately alert the COO and Operations Manager of any facility or equipment damage that has taken place.
  • Immediately alert the COO and Operations Manager of any hazardous or potentially hazardous conditions.
  • Knowledgeable of and always implements established safety procedures.
  • Partner and communicate effectively with Clinic staff.
  • Keep accurate documentation of orders and inventory.
  • Create and maintain systems to ensure accuracy in inventory and procurement processes.
  • Participate in department and organization meetings and trainings, as required.
  • Transport specimens, supplies and equipment as needed.
  • Assist in preparation for all facility site reviews and audits.
  • Collaborate with Clinical Quality Administrator regarding site audit preparation and corrective actions.
  • Represent operations at Clinical Operations meetings.
  • Other duties, as assigned.
