Clinical Operations Manager (Bilingual Required)
About The Position
Adolescent Wellness Academy (AWA) is seeking a Clinical Operations Manager to oversee and support the day-to-day operational functioning of our adolescent treatment program. This role partners closely with the Clinic Director and clinical leadership to ensure the program runs smoothly, safely, and efficiently in a fast-paced PHP/IOP environment. The Clinical Operations Manager serves as the operational backbone of the clinic, providing structure, coordination, and support so clinical teams can focus on delivering high-quality care and clients experience a consistent, organized, and supportive program. Bilingual (English/Spanish) is required.
Requirements
- 2+ years of administrative or operations experience (healthcare or behavioral health strongly preferred)
- Bilingual in English and Spanish (required)
- Strong organizational, communication, and multitasking skills
- High level of professionalism, discretion, and reliability
- Eligible for DCF & AHCA Level 2 background screening
- High school diploma or GED required (college degree a plus)
Responsibilities
- Oversee daily front office operations, including phones, visitor flow, and on-site logistics
- Manage ordering and inventory of supplies, food, UA kits, and program materials
- Coordinate facility needs, including maintenance, IT support, and cleaning services
- Support budget tracking and basic operational reporting
- Manage and maintain daily schedules in KIPU (intakes, IPEs, psychiatric NP sessions, and groups)
- Coordinate schedules with facilitators, providers, admissions, and leadership
- Send reminders for parent groups and required client appointments
- Provide Wellness Coordinator coverage when needed to support program flow
- Maintain daily sign-in/sign-out sheets and attendance tracking
- Prepare and send daily census and attendance reports
- Upload provider notes, records, and documentation into KIPU
- Manage surveys, assessments, and data tracking within R2D2
- Track PTO requests and approve hourly time entries
- Review and approve group facilitator invoices
- Support recruiting coordination and assist with screening interviews
- Lead site-level onboarding for new hires
- Ensure completion of required annual trainings
- Support team events, celebrations, and internal communications
- Maintain incident reports and required documentation
- Conduct monthly Environment of Care (EOC) checks
- Coordinate fire drills and emergency preparedness activities
- Support regulatory readiness, audits, and compliance efforts
