Requirements

  • Bachelor’s degree preferred.
  • Three to five years of experience supporting senior leadership, preferably within a healthcare environment.
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities and maintain strong attention to detail.
  • Excellent written and verbal communication skills, with the ability to communicate effectively across all levels of the organization.
  • Strong interpersonal skills and the ability to build productive relationships with staff, leadership, board members, and external partners.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and social media/web-based platforms.
  • Demonstrated proactive problem-solving skills with sound decision-making abilities.
  • Ability to maintain confidentiality, exercise discretion, and demonstrate tact and diplomacy in all interactions.
  • Proven ability to meet deadlines and achieve high performance standards in a fast-paced environment.
  • Ability to occasionally lift 15–20 pounds.
  • Flexibility to work extended hours and travel occasionally, including overnight stays, as needed.

Responsibilities

  • Provide comprehensive administrative support to Clinical Operations Leadership, serving as a key liaison between internal teams and external stakeholders.
  • Manage a high-volume, complex calendar, including scheduling meetings, coordinating availability, and resolving conflicts.
  • Prepare reports, correspondence, and materials for internal and external relationships, including confidential communications.
  • Assist with correspondence and coordination involving preferred partners and regulatory agencies.
  • Prepare background information, agendas, and supporting documentation in advance of meetings.
  • Review, proofread, format, and edit correspondence, presentations, and outgoing communications to ensure accuracy, completeness, and compliance with organizational policies.
  • Draft and finalize written communications for external stakeholders as needed.
  • Screen and triage incoming communications (phone calls and emails), directing items to the appropriate staff member and ensuring timely follow-up through completion.
  • Prioritize competing demands and manage multiple projects proactively, meeting deadlines in a fast-paced environment.
  • Maintain organized and up-to-date files and documentation for the Clinical Operations team.
  • Manage and coordinate the schedules of field trainers.
  • Assist with planning and coordinating Clinical Operations meetings, including agenda development.
  • Prepare and distribute meeting materials to appropriate attendees in advance.
  • Ensure compliance with Centers for Medicare & Medicaid Services (CMS) Conditions of Participation.
  • Handle sensitive and confidential information with discretion, professionalism, and sound judgment.
  • Perform additional duties as assigned in support of Clinical Operations Leadership.
