About The Position

Under the direct supervision of the SVP of Nursing and Clinical Operations, the Clinical Event Coordinator will be responsible for assisting with implementation of clinical operations for various programs and community events that occur at sites, off sites and medical van, including vaccination events, both public and specific to special populations and/or school districts. Specific responsibilities including assisting with meeting with the van assistant site manager/fleet manager, site managers, the outreach team and clinical teams to organize and stock medical supplies, equipment and vaccines as needed for the specific events. The Clinical Event Coordinator will function as an MA for all community and van events and in any other settings as deemed necessary by the SVP of Nursing and Clinical Operations or their Designee.

Requirements

Be fully bilingual in English and Spanish
Be proficient in the use of computers, internet navigation and keyboarding
Have excellent customer service and interpersonal skills, and be a team player
Be able to relate well to a diverse group of patients and staff
Demonstrate excellent verbal and written communication skills.
Demonstrate self-motivation and leadership skills necessary to work offsite and without the direct supervision.
Display positive attitude and act as positive agent for change in daily clinical practice as it applies to the Medical Van and clinical events.
Demonstrate consistent team-oriented work practices
Be able and willing to work on an as needed basis and in a flexible schedule to meet the operational needs of the Medical van and clinical events.
Be willing to travel to meet the needs of the community in the seven counties served by Zufall
Successfully complete all MA competencies demonstrating full proficiency
Minimum High School Diploma or GED
Have current certification as a Medical Assistant
Have current certification for EKG, Phlebotomy and BLS
Minimum 2 years' experience as MA at Zufall Health Center

Responsibilities

Review scope of services to be provided at each Van or immunization event and ensure that appropriate supplies, medications, vaccines, and equipment are available to meet the needs of each unique event.
Work with Executive Assistant to the CMO, Administrative Assistant to the SVP of Nursing and Clinical Operations, Site managers and other departments to secure appropriate staffing for planned events.
Assists with preparation and transport of vaccine and medical supplies to events
Inventory all equipment and consumable supplies, including emergency medications to be maintained on Medical Van and ensure that all supplies are replenished prior to any Scheduled or Emergency Van outings.
Monitor the function of all clinical equipment maintained on the van including but not limited to: refrigerators, vaccine coolers, glucometer, A1C machine, Hgb meter, exam tables, EKG machines, AED, Oxygen tank, etc. and arrange for repair/replacement as necessary. Notify SVP of Nursing and Clinical Operation and/or Assistant Site Manager/Fleet Manager of any needs and or transactions related to above noted equipment or new equipment necessary to meet the needs of our outreach efforts.
Attend appropriate outreach meetings to gather data necessary to ensure that all actual and potential needs of the clinicians and patients are met during an outreach, van and or immunization event. Utilize content of meetings to effect change in both personal and organizational clinical practice
Perform duties and responsibilities as outlined in the CMA job description and acts as primary MA for all Medical Van related events.
Assist in development of event flyers, tracking/documentation forms, materials
Participate in Care Team meetings (i.e. huddles) to prepare for patient visits and anticipate needs.
Ensures that the patient brings all supporting documentation to visit
Makes appointments or responds to inquiries
Reminds patients of appointment time, documentation needed, immunization records for new patient appointments and schedules and reschedules appointments
Maintains adequate inventory of supplies and necessary forms for events (fact sheets, consent forms, registration materials, etc.
Identify and recommend solutions to clinical procedural and work-flow related issues as they pertain to the Medical Van and/or vaccine events
Participate in collaborative initiatives and PDSA's as directed by SVP of Nursing and Clinical Operations, and Chief Medical Officer
Act as preceptor for new Medical Van Staff, providing orientation and training on clinical policies and procedures.
Participates in end of month reporting and/or participates in program evaluation as requested
Fulfill other duties as assigned by the SVP of Nursing and Clinical Operations or their designee, up to and including filling in as an MA at clinical sites to meet the immediate needs of the organization.
