About The Position

The Clinical Care Coordination Specialist provides complete administrative support with primary duties within the clinical department and secondary duties for other departments and administration while always assuring the Reliable Respiratory Inc. mission, vision, and values are met.

Requirements

  • Must be 21 years of age or older
  • Legally authorized to work in the United States without current or future sponsorship
  • High school diploma or equivalent required; college education preferred
  • Minimum of two years of customer service experience
  • Strong interpersonal and instructional skills with the ability to follow through effectively
  • High attention to detail and excellent organizational abilities
  • Proficient in Brightree, Merger, and Microsoft Office Suite
  • Capable of prioritizing tasks and managing time efficiently
  • Skilled in handling sensitive situations with professionalism, discretion, and empathy
  • Ability to manage multiple tasks simultaneously.

Nice To Haves

  • Enteral Nutrition experience preferred

Responsibilities

  • Serve as the primary point of contact for patients receiving ventilator and enteral nutrition and other high-tech therapies
  • Process new orders for advanced respiratory and enteral equipment, including ventilators (invasive and non-invasive), cough assist devices, suction machines, Afflovest, compressor, tracheostomy, and enteral nutrition
  • Review medical documentation to ensure patients qualify for prescribed equipment
  • Request and collect required documentation from referral sources
  • Verify insurance coverage and obtain prior authorization when necessary
  • Educate patients on financial responsibilities and collect payments for co-pays or deductibles
  • Create sales orders for new equipment setups
  • Coordinate discharge planning and schedule setup appointments with respiratory therapists
  • Manage ventilator check reports by contacting patients to schedule routine visits and processing supply shipments
  • Maintain ventilator preventive maintenance schedules and coordinate service appointments
  • Oversee guided call reports by conducting monthly outreach to assess supply needs
  • Request annual prescription renewals for resupply
  • Schedule appointments for pressure adjustments and mask fittings based on incoming orders
  • Build and sustain patient relationships to ensure compassionate care, personalized support, and a positive experience throughout their treatment journey
  • Actively engage in High-Tech Phone Queue, handling incoming calls from patients, physician offices, hospitals, and other healthcare partners with efficiency and professionalism. Ensure timely communication, accurate information exchange, and compassionate service delivery.
  • Respond to patient inquiries and troubleshoot issues with empathy and efficiency.
  • Collaborate with customer service and logistics teams to resolve service-related concerns.
  • Support referral sources by guiding them through required documentation to ensure patients meet qualification criteria for prescribed equipment
  • Manage incoming fax and email orders, ensuring prompt processing of resupply and compliance documentation requests
  • Generate and deliver compliance reports to physicians via email or fax for review
