About The Position

Clinic Manager Adolescent Wellness Academy (AWA) Full-Time | On-Site Adolescent Wellness Academy is seeking a Clinic Manager to support daily operations and partner closely with the Clinic Director to ensure the clinic runs smoothly, safely, and efficiently. This role is responsible for administrative operations, scheduling, staff support, records management, and compliance coordination in a fast-paced adolescent treatment environment. Why This Role Matters The Clinic Manager is the operational backbone of the program. This role ensures structure, consistency, and support so clinical teams can focus on delivering excellent care and clients experience a safe, organized, and supportive environment.

Requirements

  • 2+ years of administrative or operations experience (healthcare/behavioral health preferred)
  • Strong organization, communication, and multitasking skills
  • High level of professionalism and reliability
  • Eligible for DCF & AHCA Level 2 background screening
  • High school diploma or GED required (degree a plus)

Responsibilities

  • Manage front office operations, phones, visitor flow, and daily clinic needs
  • Order and maintain supplies, food, UA kits, and materials
  • Coordinate facility needs, maintenance, IT support, and cleaning services
  • Assist with budget tracking and operational reporting
  • Manage daily schedules in KIPU (intakes, IPEs, psych NP sessions, groups)
  • Coordinate with facilitators, providers, and admissions
  • Send reminders for parent groups and required appointments
  • Provide Wellness Coordinator coverage when needed
  • Maintain daily sign-in/out sheets and attendance tracking
  • Send daily census and attendance reports
  • Upload records and provider notes into KIPU
  • Manage surveys, assessments, and data in R2D2
  • Track PTO and approve hourly time entries
  • Review and approve group facilitator invoices
  • Support recruiting coordination and screening interviews
  • Lead site-level onboarding for new hires
  • Ensure completion of annual trainings
  • Support team events, celebrations, and internal communication
  • Maintain incident reports and documentation
  • Conduct monthly Environment of Care (EOC) checks
  • Coordinate fire drills and emergency preparedness activities
  • Support regulatory readiness and audits
