About The Position

Position Responsibilities Manage Trust/RIA/Brokerage phone traffic and client/prospect inquiries. Facilitate client/staff meeting preparation. -Coordinate meeting times -Reserve conference rooms -Set up conference/zoom calls -Prepare meeting agenda’s, handouts, presentations, etc. -Assist in any other client/staff preparation Process bills & distribution requests for all clients (Trust/RIA/Brokerage). -Assist MV Custody Services in managing daily distribution logs (excel & physical) -Daily/monthly reconciliation of distributions (Orion/FTC reports) -Facilitate incoming deposits Process mail for Trust/RIA/Brokerage (incoming/outgoing). -Prepare any bulk mailings for clients/prospects Prepare monthly/quarterly statements and manage reporting for review & fulfillment. -Coordinate between Orion core and FTC core systems for delivery accuracy -Manage 100% of the statement/reporting delivery process Assist in opening new accounts for Trust/RIA/Brokerage clients. -Prepare appropriate account opening paperwork -Work with prospective clients to ensure appropriate information is delivered -Facilitate 100% of account opening experience Create and manage all customer account files (physical & electronic). -Update and monitor client files for accuracy -Review files for compliance/regulatory oversight Assist in monthly/quarterly compliance reconciliation and reporting (Trust/RIA/Brokerage) -Prepare monthly/quarterly recon reports for review by Managing Director/CCO Proficiency in client/custodian core record keeping systems (Orion/LPL/FTC). Prepare various marketing and correspondences to clients and prospects. Act as Committee Clerk for the MVIA Investment and Administrative Oversight Committees. -Coordinate meeting times with various committee members -Prepare meeting handouts, presentations, etc. -Take committee minutes, etc. Assist and support general workload of Managing Director and any special projects assigned. Requirements

  • High School Diploma.
  • Associate or bachelor’s Degree a plus.
  • 2-4 years’ experience in an office setting (Financial Services preferred).
  • Proficient in Word & Excel.
  • Positive attitude with emphasis on high quality customer service.
  • Excellent organizational skills and ability to communicate in a fast-paced environment.

Nice To Haves

  • Associate or bachelor’s Degree a plus.
