About The Position

The Administrative Supervisor supports a team of Client Services and other administrative personnel in multiple locations. Performs a wide variety of administrative duties relevant to Sound’s program needs, which may include records management, scheduling, special projects, etc. Manages multiple tasks in an organized manner in order to adhere to critical timelines. As a member of the Administrative Services team, participates in required team meetings and provides cross team support and coverage. Schedule: Typically Monday-Friday 8:00am-5:00pm with room for flexibility to support the needs of the team. Location: Hybrid role based in Seattle. Accepting Applications until March 13th, 2026

Requirements

  • High school graduate or equivalent; college or vocational training in administrative functions preferred.
  • At least three years of progressively responsible administrative duties in a fast-paced environment.
  • 1-2 years supervisory experience in an office setting.
  • At least one year of experience in a healthcare setting is required.
  • Strong supervisory and leadership skills, with the ability to delegate, monitor, mentor, and asses, and to model appropriate behavior for team members.
  • Proficiency with Microsoft applications, including Word, Excel, Outlook, and Publisher; knowledge of electronic recording keeping and scheduling software (Avatar preferred).
  • Understanding of Health Insurance verification and billing processes.
  • Knowledge of HIPAA requirements that pertain to client information and client privacy.
  • Knowledge of administrative functions, including phones, files, reports, correspondence, presentations, etc.
  • Strong administrative, office, and organizational skills, with attention to detail and ability to manage time and priorities.
  • Excellent verbal and written communication and personal interaction skills, with an emphasis on customer service and support.
  • Ability to develop and maintain strong professional relationships with team members at all levels, clients, including children and adults, and with varying educational, ethnic, professional and economic backgrounds.
  • Ability to work effectively with minimal supervision, manage multiple duties and priorities, and maintain high standards for accuracy, productivity, and confidentiality.
  • Demonstrated flexibility, with ability to work effectively supporting several treatment teams and individuals.
  • Ability to effectively present information and respond to questions from managers, clients, customers, and the public.
  • Ability to function as a member of a team, leading within the scope of the position and contributing whenever possible.
  • Must have personal vehicle for business use and valid Washington driver’s license with satisfactory driving record or reliable public transportation.

Responsibilities

  • Assist in recruitment of new employees. Including selecting and interviewing candidates.
  • Train and provide ongoing support to assigned new team members.
  • Monitors and records performance metrics to provide coaching and discipline as needed.
  • Oversee timekeeping functions, including review and approval of timesheets, monitoring attendance, and addressing time and attendance concerns in accordance with organizational policy.
  • Provide backup coverage for Administrative Manager.
  • Ensures consistent front desk staffing; is proactive in planning for staffing needs.
  • Plan, assign, and direct work; supervise daily activities of assigned team members as needed.
  • Drive to multiple Sound locations to support team members.
  • Provide administrative and special project support to multiple teams across sound.
  • Work with Administrative Manager on agency forms branding, ordering and distribution of stationery, and any items which may require display.
  • Field email and phone call requests from clinical staff and provide timely follow-up.
  • Assist with ordering of offices supplies and equipment.
  • Ensure team members maintain adequate levels of supplies in office supply rooms.
  • Works with Program Managers and other team members to address and correct customer service issues.
  • Provides direct program support specifically related to assigned program services.
  • Data collection in support of projects and organizational information. This may include creating data spreadsheets, power points, etc.
  • Attend meetings in support of the administrative team and on behalf of administrative assistants.
  • Ensure adequate communication with team members, lead multiple all admin staff meetings.
  • Occasionally performs front office and reception duties by answering multiple telephone lines, routing calls, scheduling prescriber appointments, conducting client intakes, and providing relevant service/program information.
  • Completes assigned special projects, independently or as a contributor to or lead of a project team.
  • Performs other duties as assigned.
