About The Position

The Client Services Coordinator is responsible for managing all inbound service-related leads, including storage, logistics, shipping and receiving, booth asset fulfillment, small-format display orders, and recurring conference support. This role ensures that every lead is responded to quickly, qualified thoroughly, and guided through the quoting, proposal, and closing process. In addition to converting new inquiries, the Coordinator will manage logistics with internal warehouse teams, maintain accurate records of inventory and event schedules, and serve as the primary point of contact for clients requiring ongoing show services throughout the year. The purpose of this role is to capture service-based revenue that the core sales team cannot pursue due to their focus on custom exhibit builds, while developing strong client relationships that may grow into future custom exhibit opportunities.

  • Experience in client services, account coordination, logistics, or show services
  • Strong written and verbal English communication skills
  • Ability to handle multiple inquiries simultaneously
  • Comfortable working in a fast-paced environment
  • Highly organized and detail-oriented
  • Tech-savvy and able to learn internal quoting/CRM tools
  • Strong sense of urgency

Responsibilities

  • Respond to all inbound form submissions and inquiries within 24 hours.
  • Qualify each lead by gathering details on booth size, inventory, timelines, and service needs.
  • Prepare quick and accurate quotes for storage, logistics, shipping/receiving, crating, and small portable display products.
  • Create proposals and follow up consistently until the opportunity is closed.
  • Track all leads in CRM and maintain updated notes for transparency and reporting.
  • Coordinate shipping, receiving, pickups, deliveries, and tracking for client booth materials.
  • Work closely with warehouse teams to ensure accurate storage, labeling, and turnaround times.
  • Maintain updated records of client booth inventory and future event schedules.
  • Assist clients with scheduling domestic and international shipments, including required documentation.
  • Support coordination of refurbishments, minor repairs, or asset updates when needed.
  • Serve as the primary ongoing contact for clients requiring recurring show services.
  • Build long-term relationships through strong communication and proactive service.
  • Identify opportunities for additional services such as booth upgrades, new graphics, or portable display products.
  • Maintain consistent follow-up with returning clients ahead of upcoming events.
  • Communicate lead status and project details to warehouse, project managers, and operations teams.
  • Help streamline service workflows and documentation for faster response times.
  • Collaborate with leadership on improving service offerings and client experience.
  • Maintain digital files for quotes, proposals, service agreements, shipping details, and client communication.
  • Prepare weekly or monthly reports on service leads, revenue, and conversion metrics.
  • Assist in updating pricing sheets, service menus, and quoting templates.
  • Provide leadership with insights on lead patterns and growth opportunities.
