At Metropolitan Veterinary Associates (MVA), our Customer Service Representatives (CSRs) are a vital part of our mission—helping pet families feel welcomed, informed, and cared for from the very first phone call. In this role, you’ll play a key part in supporting our emergency department by managing client communication, coordinating appointments, and assisting with essential administrative tasks. As a CSR, you’ll help us fulfill that mission by delivering a welcoming experience and smooth administrative support that keeps the hospital running at its best. With 13 specialty departments, our team includes top experts in fields such as internal medicine, surgery, cardiology, and more, ensuring comprehensive care for our patients. What You’ll Do As a Customer Service Representative, you’ll work closely with our specialty teams and business office to ensure a smooth experience for clients and efficient communication for hospital staff. In this position, you will:

Requirements

  • Previous experience in customer service, preferably in a veterinary or healthcare setting
  • Excellent verbal and written communication skills
  • Confidence handling a multi-line phone system and scheduling software
  • Comfort interacting with pet owners and veterinary professionals
  • Strong multitasking and attention to detail
  • A calm, compassionate demeanor, especially during emotional client moments
  • A positive attitude and team-oriented mindset

Nice To Haves

  • Familiarity with Cornerstone, or similar systems (a plus!)

Responsibilities

  • Greet clients by phone or in person with warmth and professionalism
  • Schedule appointments and provide accurate follow-up communication
  • Coordinate medication refills and liaise with clinical teams for timely updates
  • Assist with billing, payments, and insurance questions
  • Update patient records, manage data entry, and ensure accurate client information
  • Answer a high volume of calls with a calm, helpful, and solutions-focused approach
  • Support both front desk and back-office administrative workflows
  • Provide compassionate support to pet owners during sensitive conversations
