We are seeking a dedicated, empathetic, and organized Customer Service Representative to join our team and help us continue delivering outstanding service. Position Overview: As a Customer Service Representative in our veterinary clinic, you will play a vital role in ensuring clients receive the best possible care and attention from their first point of contact with us. You will assist in scheduling appointments, processing payments, and answering inquiries—all while maintaining a positive and professional attitude.

Requirements

  • Knowledge of basic veterinary medicine is highly desired.
  • Previous experience in customer service and/or client communication is preferred.
  • Strong communication and interpersonal skills
  • Excellent phone etiquette
  • Ability to handle difficult situations with patience and professionalism
  • Strong organizational and multitasking skills
  • Attention to detail
  • Compassion for animals and their owners and a desire to provide only the best customer experience.
  • Ability to sit or stand for extended periods, occasional lifting of office supplies and the ability to work in a busy, fast-paced environment.

Nice To Haves

  • Familiarity with veterinary terminology is a plus but not required

Responsibilities

  • Greet clients, answer phone calls, and respond to emails promptly.
  • Provide detailed and accurate information to clients about services and procedures.
  • Schedule, confirm, and rescheduling of appointments using our clinic's software system.
  • Ensure that appointments are booked efficiently and accurately and accompanied with the necessary documentation.
  • Handle client billing and payment processes, including invoicing and payment collection.
  • Address client concerns, complaints, and inquiries with empathy and professionalism.
  • Act as a liaison between clients and veterinary staff to ensure smooth communication.
  • Maintain accurate client and pet records, including updating contact information and medical history in the clinic's database.
  • Work closely with veterinarians, technicians, and other staff members to ensure client and pet needs are met in a timely and efficient manner.
