Position Overview: The Client Service Representative (CSR) plays a vital role in creating an outstanding client experience. As the first and last point of contact, this position sets the tone for each visit by providing a warm, professional, and welcoming atmosphere. The ideal candidate is a true “people person” who thrives in a fast-paced environment and enjoys building relationships with clients and their pets. CSRs must be able to multitask efficiently, remain calm under pressure, and communicate clearly and compassionately—especially in emotional or high-stress situations. A strong understanding of hospital services and the ability to confidently relay that information to clients is essential.

Responsibilities

  • Greet clients and pets warmly, creating a positive first impression
  • Answer multi-line phones promptly and professionally
  • Schedule appointments in accordance with hospital guidelines
  • Maintain accurate client and patient records in the system
  • Communicate clearly with clients regarding services, products, and care recommendations
  • Prepare estimates, treatment plans, consent forms, and invoices
  • Process payments, including cash, credit cards, and checks
  • Verify and dispense prescriptions, including diets and preventatives, with proper instructions
  • Weigh pets and record accurate data in medical records
  • Assist in maintaining a clean, organized reception area
  • Handle client concerns with empathy and professionalism
  • Recognize urgent situations and alert medical staff as needed
  • Support overall hospital operations and workflow
