About The Position

Legacy Planning Advisor Group, a Private Wealth Advisory Practice, is seeking a full-time Client Service Manager to support the day-to-day operations of a growing advisory practice. Legacy Planning Advisor Group specialist in comprehensive financial planning and estate management for professional athletes, business owners, and senior executives, delivering tailored strategies to support complex financial needs. This is a highly independent role ideal for a self-sufficient, detail-oriented professional who is comfortable working autonomously in an office setting. The Client Service Manager will serve as a key partner to the advisor, ensuring seamless client service, operational efficiency, and consistent execution of processes. The Client Service Manager is responsible for overseeing administrative operations, client service coordination, and internal workflow management. This individual will manage multiple priorities, support client relationships, and ensure all processes are executed accurately and in alignment with compliance standards. This role requires strong judgment, initiative, and the ability to operate independently while maintaining a high level of professionalism and accountability.

Requirements

  • 1-3 years of experience in an administrative, executive assistant, or office management role or financial planning preferred
  • Associate’s Degree or higher preferred, but not required
  • Ability to work independently with minimal supervision
  • Strong organizational and time management skills
  • Excellent communication and client service skills
  • High level of integrity, professionalism, and accountability
  • Proactive mindset with strong problem-solving and decision-making abilities

Nice To Haves

  • Experience in financial services or wealth management preferred
  • Experience with CRM systems and financial planning tools preferred
  • Familiarity with investment operations and trading processes (Vestmark experience a plus)

Responsibilities

  • Manage client relationships, including handling day-to-day service requests and scheduling
  • Coordinate client communications, follow-ups, and ongoing service needs
  • Maintain and manage client calendars, appointments, and prospect activities
  • Oversee annual financial plan production in coordination with the planning team
  • Manage and support plan production staff, including a part-time team member
  • Ensure efficient workflow across all client service and planning processes
  • Manage Vestmark processes and prepare materials for quarterly trading activity
  • Coordinate with external trading partners to ensure smooth execution
  • Maintain organization and efficiency of the office environment
  • Support advisor with scheduling, prioritization, and operational needs
  • Ensure all systems, processes, and documentation are up to date
  • Ensure all activities and processes align with compliance requirements
  • Maintain consistency and accuracy in documentation and procedures
