About The Position

Step into an instrumental role supporting the daily operations of a fast paced financial planning and investment advisory practice in the Northshore Chicago suburbs. We are seeking a motivated and hardworking team member to join our practice as a Client Service Manager to provide hybrid support across administrative operations, client service, financial planning preparation, and general office coordination. A successful candidate will demonstrate excellent organizational, problem-solving, and customer service skills. A positive attitude, a desire to help, and care for others are essential. This is full-time, onsite position. This role requires strong problem solving skills and the ability to understand the business well enough to independently handle routine questions and tasks. The individual will interact directly with clients, assist in preparing planning-related materials, maintain accurate client records, and support advisors across a wide range of operational needs. Responsibilities will evolve based on practice demands. This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and performing work activities. Our office is located within walking distance of the Metra Union Pacific North train line for commuting from Chicago. Requirements

  • Bachelor’s degree or higher.
  • Prior experience in a financial planning, investment advisory, or client‑focused professional services environment strongly preferred.
  • Experience with CRM systems, financial planning tools, and Microsoft Office suite.
  • Already have, or be able to study for and pass exams, for federal and state licenses and registrations for securities, SIE Exam, including Series 7, Series 66, and IL State life, accident, and health insurance licenses.

Responsibilities

  • Maintain ongoing relationships with clients, keeping them updated about any changes affecting their finances.
  • Answer client inquiries and provide readily available information to clients, if requested and as allowable, as it relates to servicing their accounts.
  • Prepare and verify information for client forms, applications, and other documents.
  • Provide general administrative duties such as answering the advisor's phone, process expense management reports, prepare routine client correspondence, support for closes, set up of client files, copy and new business correspondence and alerts.
  • Assist with gathering client data and preparing planning materials and review documents.
  • Prepare and summarize client meetings by scheduling and confirming meetings, entering data, building the agenda and summary of meetings, escorting clients to advisor meeting and providing vital follow-up.
  • Ensure paperwork is submitted efficiently which includes preparation of forms and documentation for submission to home office, acquisition of appropriate signatures, tracking of new applications and coordination of rollovers.
  • Assist advisors in servicing clients, including preparing financial plans, conducting investment research and completing trades and transactions as described by the advisor.
  • Maintain an understanding of market conditions and movement and perform specialized research as needed.
  • Prepare charts, graphs, tables, and other visual aids to be used in implementation meetings with clients.
  • Run illustrations for insurance and other proposals as needed.
