Requirements

  • Minimum of 3 years of experience in a front office or client-facing administrative role
  • Experience answering and routing calls using a multi-line phone system
  • Strong professional presence with outstanding interpersonal skills
  • Exceptional verbal and written communication abilities
  • Proficiency in Microsoft Outlook for calendar management
  • Proven organizational skills with the ability to manage multiple tasks and schedule meetings accurately
  • Dependable, trustworthy, and able to handle confidential information with integrity
  • Availability to work Monday through Friday, and able to work an 8-hour shift within the front desk coverage window of 7:30 a.m. to 5:30 p.m.

Responsibilities

  • Greet all visitors and callers in a professional, courteous, and respectful manner
  • Provide prompt and thorough message handling and communication follow-up
  • Manage front office operations including conference room scheduling, visitor coordination, and lobby presentation
  • Coordinate catering needs and logistics for internal and client-facing meetings
  • Ensure conference rooms are clean, organized, and stocked with necessary supplies throughout the day
  • Process, route, and distribute sensitive and confidential documents with discretion
  • Oversee the pick-up and delivery of engineering documents in the front office
