The Client Experience Specialist is often the first person clients see, the first voice they hear, and the person quietly making sure everything is ready before the day begins. This role plays an important part in how Savant shows up for clients and for each other. What you’ll be responsible for: You’ll work closely with the Client Services Team to support the office, prepare for client meetings, and keep daily workflows moving smoothly. Your work will include a mix of client-facing, administrative, and behind-the-scenes responsibilities, such as: Supporting the front desk and office Serving as backup for reception and other Client Experience Specialists Greeting clients and visitors and helping them feel comfortable from the moment they arrive Answering and directing incoming phone calls professionally Making sure conference rooms, common spaces, and the lobby are clean, organized, and client-ready Opening and closing office procedures, including phones and secure document handling Preparing for client meetings Assembling annual review and client meeting packets Assisting with beneficiary form updates and related documentation Scheduling and coordinating meetings at the request of Client Services Associates or regional leadership Managing client records and documents Scanning and digitizing client documents with accuracy and care, following compliance standards Supporting document-related projects tied to firm growth and acquisitions Assisting with quality control and organization of electronic client records Supporting systems and daily workflows Helping administer the MySavant client portal and troubleshooting basic issues Creating and maintaining the office master calendar and confirming next-day appointments Processing incoming checks across custodians and reviewing deposits for accuracy Maintaining accurate client information in Salesforce and related systems General administrative and team support Preparing, printing, binding, and mailing client and team materials Processing client gift requests Managing mail, shipping, and office supply inventory Supporting local client and team events, including planning and setup Assisting with Zoom meeting setup and troubleshooting Coordinating with building management and vendors as needed Stepping in to support teammates and special projects when needed No two days are exactly the same, and teamwork is essential. When things get busy, everyone helps. A couple things to note about our Client Experience Specialist: This position is based in our Evanston, IL office at 1578 Sherman Ave. This position is a fully in-person position, working Monday - Friday, 8:00AM - 5:00PM. Because of this, you must have reliable transportation and live within 50 minutes of our office. This is a full-time position, with a minimum expected hour amount of 40 hours per week.
