Requirements

  • High school diploma or equivalent is required.
  • Minimum of one year receptionist or office coordinator experience and/or training.
  • Excellent customer service skills with a natural ability to make people feel welcome and valued.
  • Outstanding written and verbal communication skills, with the ability to communicate effectively with high-level executives.
  • Strong interpersonal skills and professional demeanor at all times.
  • Ability to prioritize and organize multiple tasks efficiently, even with frequent interruptions.
  • Excellent PC skills and demonstrated knowledge of Microsoft Office products.
  • Strong problem-solving abilities and attention to detail.
  • Ability to work in-office during office hours of 7:45 am to 4:45 pm, Monday through Friday.

Nice To Haves

  • Bilingual in Spanish is preferred.

Responsibilities

  • Serve as the first point of contact for all visitors and callers, creating a welcoming and professional atmosphere that reflects M3's commitment to excellence.
  • Answer and route incoming calls with exceptional customer service, ensuring every interaction leaves a positive impression.
  • Greet and announce visitors professionally, establishing strong first impressions that set the stage for successful business relationships.
  • Manage all incoming deliveries, faxes, and special mail, ensuring timely and accurate distribution to appropriate team members.
  • Lead safety and compliance protocols in the main lobby area, maintaining a secure and organized environment.
  • Support the Administration Department with data entry, project work, and client communications as needed.
  • Maintain the office lobby in an orderly and professional manner, creating an inviting space for clients and visitors.
  • Train and coordinate backup support to ensure consistent client experience coverage during absences.
