Job Description: The Client Experience Assistant plays a central role in supporting a growing legal practice by serving as the primary administrative and client‑facing partner. This role focuses on managing intake, scheduling, and day‑to‑day operations while ensuring clients feel heard, supported, and guided from their very first interaction. The ideal candidate brings a strong customer‑service mindset, communicates with warmth and professionalism, and thrives in a role that requires flexibility and ownership. Success in this position comes from being organized, adaptable, and comfortable handling sensitive situations with discretion. Requirements

  • Excellent customer service skills
  • 2-3 years of experience on the field
  • Clear and professional verbal and written communication

  • Full‑time role working Monday through Friday
  • Working hours: 08:30 AM to 05:30 PM PST
  • No legal background required
  • Comfortable handling sensitive and confidential information
  • Ability to support a fully virtual law practice

  • Zoom or similar virtual meeting platforms
  • Digital document and e‑signature tools such as DocuSign

Responsibilities

  • Send retainers and support administrative billing processes
  • Answer incoming calls and serve as a first point of contact
  • Develop, document, and improve standard operating procedures
  • Manage calendars and protect leadership time
  • Schedule consultations, calls, and virtual meetings
  • Conduct client intake and gather initial information
  • Support day‑to‑day administrative tasks and operational needs
  • Maintain accurate records and organize digital files
  • Communicate with clients via phone and email with professionalism and empathy
