About The Position

Global leading law firm Dechert LLP is looking for a Client Engagement Coordinator (3+ years' experience) to assist the Manager of Client Events in planning and delivering high-impact client engagement initiatives, including client gifting, supporting marketing collateral for events and VIP experiences. The role is ideal for a detail-oriented, creative, resourceful self-starter who thrives in a fast-paced, professional services environment and can manage multiple projects with minimal supervision.

Requirements

  • Bachelor's degree preferred.
  • 3+ years of marketing or corporate experience
  • Meticulous and organized.
  • In office four days a week with flexibility for Fridays as needed.
  • Ability to work overtime as needed.
  • Commitment to excellent internal and external client service.
  • Good oral and written communication skills. Good grammar, vocabulary and reading comprehension.
  • Knowledge of the firm's policies and procedures.
  • Ability to effectively manage competing priorities.

Responsibilities

  • Assist with high impact client engagement asks from firm leadership, including reservations and bespoke requests.
  • Support planning, implementation, and post-event activities for the Firm's client engagement program.
  • Arrange for production of event materials, such as signage and promotional merchandise.
  • Coordinate collateral logistics, such as client gifting, event branding, and experience enhancements.
  • Assist with creative concept proposals for experiential marketing and client touchpoints, researching trends and best practices to enhance client experiences.
  • Source new vendors, maintain vendor guide, and vendor relationships.
  • Build event kits; create standardized packing lists.
  • Pick/pack orders; verify contents against requests.
  • Research, purchase, and distribution event merchandise.
  • Keep event closet organized and maintain inventory levels.
  • Gather project requirements (budget, quantities, deadlines).
  • Obtain quotes, compare vendors, negotiate pricing and lead times.
  • Create and track purchase orders; manage proofs and sign-offs.
  • Monitor production status; ensure quality standards/specs.
  • Track spend against budget; prevent rush fees.
  • Reconcile invoices and resolve discrepancies; Use the firm's systems (iManage, CRM, SharePoint) to update data as needed.
  • Collect and return reusable items; document losses/damages, update inventory, and reorder as needed.
  • Perform all other duties as necessary and as assigned by your supervisor for efficient functioning of the events team, department, office, and firm.
