About The Position

This position is posted by Jobgether on behalf of a partner company. We are currently looking for a Client Coordinator - REMOTE. In this remote role, you will play a crucial part in supporting a specialised fertility practice dedicated to women seeking egg donation. You will manage donor inquiries and maintain the CRM while optimising operational workflows. This position starts at approximately 5 hours per week, with opportunities for growth as the role develops. Your contributions will ensure effective and empathetic communication with prospective donors.

Requirements

  • Experience as a Virtual Assistant, Client Coordinator, or in Operations Support.
  • Strong organisational skills with an operational mindset and efficiency focus.
  • Professional, empathetic, and reliable in communication.
  • Ability to work independently and manage multiple inquiries without supervision.
  • Proficiency in Zoho CRM essential; experience with HubSpot is beneficial.
  • Afrikaans-speaking candidates are advantageous.
  • Highly organised, efficient, and operationally minded.
  • Able to prioritise tasks, track inquiries, and maintain smooth workflows.
  • Proactive, detail-oriented, and professional.
  • Empathetic and courteous when engaging with donors.
  • Comfortable working independently in a small, focused team.

Nice To Haves

  • Afrikaans-speaking candidates are advantageous.
  • Proficiency in Zoho CRM essential; experience with HubSpot is beneficial.

Responsibilities

  • Set up, maintain, and update the CRM system.
  • Track and manage donor inquiries from initial contact through follow-up.
  • Log key details, actions, and next steps in the CRM to ensure nothing is missed.
  • Set up and maintain workflows to standardise donor engagement.
  • Respond to new inquiries using provided scripts via email and WhatsApp.
  • Follow up with prospective donors according to workflow and schedule.
  • Ensure timely, professional, and empathetic communication.
  • Assist with day-to-day operational tasks as needed.
  • Organise and maintain documentation related to donor processes.
  • Support scheduling and coordination within the team.
