Perella Weinberg Partners is seeking a Client Center Coordinator for the firm’s headquarters. The ideal candidate will be responsible for the management of the firm’s multi-media client center as well as front desk reception coverage. The duties will include all aspects of ensuring smooth operations of the center. Responsibilities: As the face of the firm, serve as owner and first point of contact for all internal and external clients, and firm visitors. Greet all guests and employees with a professional and welcoming demeanor. Serve as a primary resource in handling Client Center meeting requests and resolve scheduling conflicts. Register all scheduled visitors to the firm into the building visitor access system. Accurate screening of multi-line phones and direct calls accordingly. Build strong relationships and work closely with team Assistants and other Client Center meeting organizers to assure seamless day-to-day operations. Coordinate and assure all meeting setups, AV, and other special requests. Work with Corporate Services, IT and other firm teams as necessary to assure all Client Center meetings and events are flawless. Responsible for Client Center catering from order to delivery and setup/breakdown, including assuring the costs are charged to the appropriate cost center/credit card account. Take pride and ownership in ensuring the Client Center is kept to a best-in-class standard, including keeping it neat, tidy, stocked, and ensure all AV equipment is tested and fully functional at all times. Act as ‘host’, not simply ‘greeter’, ensuring all visitors are made to feel welcome from the moment they arrive; attending to needs and requests, ensuring they are comfortable and situated in the correct meeting room. Notify internal meeting attendees of their visitor arrivals. Ensure Client Center meeting rooms are reset to their best-in-class standard post-meeting and readied for upcoming meetings. Ensure all client and firm materials are removed from all rooms after each and every meeting. Manage and maintain all Client Center amenity inventory. Coordinate out-of-town PWP employee seating assignments in the NYC office. Accept inbound and outbound packages and work with Corporate Services for distribution. Prepare monthly Analyst and Global Corporate Services expense reports using the Workday platform as well as other administrative duties as requested. Assist various internal teams with other ad hoc projects/events. Serve as owner/sponsor for firm’s annual Toys-for-Tots campaign. The Ideal Candidate Will Be: Extremely organized and able to effectively schedule concurrent meetings. A strong communicator, punctual, reliable, and dependable A “people person” who will professionally and cordially greet guests and work with internal resources for scheduling events. Proactive and willing to take ownership and pride in their day-to-day tasks and workplace environment. Accountable for the success of every meeting in the center. Professional and always maintain confidentiality. Able to work and multi-task in a fast-paced, team-oriented environment. Flexible and willing to support the wider Corporate Services team with ad hoc tasks as required. Extremely proficient with MS Outlook with intermediate skills in other Microsoft Office products including Zoom, Teams, Word and Excel Experienced in setting up and troubleshooting Zoom video and voice meetings. Experienced using a multi-line telephone. Experienced setting up and operating A/V equipment and other office equipment. Will require some heavy lifting (40+ lbs.) The annualized base salary for this position is $50,000 - $75,000. The annualized base salary range represents low and high ends of the base pay range for this position. The specific base salary an employee in this job classification receives depends on a number of factors, including but not limited to, geographic work location, prior employment history/experience, job-related knowledge, qualifications and skills, etc. Base pay is just one component of PWP’s total compensation package that may be available to employees. Depending on the position and other factors, other rewards may also include discretionary bonuses, Restricted Stock Units (RSUs), paid time off, and many other benefits, subject to applicable eligibility criteria and Firm policies.
