About The Position

This position is responsible for working directly with clients regarding business operations of the rail division. Daily responsibilities are to oversee the management, planning, and coordination of daily and long-term rail car projects, from the quoting process through project completion.

Requirements

  • HS Diploma/GED
  • 3+ years’ related experience in client relations, project management, or inside sales.
  • Proficient with Microsoft word and excel.
  • Ability to read, analyze, and interpret customer, regulatory and documents.
  • Ability to respond to common inquiries or complaints from customers, and regulatory agencies.
  • Customer service oriented, excellent manners with co-workers, customers, and vendors.
  • Strong verbal and written communication skills.

Nice To Haves

  • College Education Preferred
  • Knowledge of AAR/FRA requirements or other federal regulatory requirements. (Preferred)

Responsibilities

  • Provides overall direction and project administration of all daily and long-term rail car projects in the Rail division, including:
  • Prepare work orders for new and existing clients prior to railcar arrival with clear and concise shopping instructions along with necessary regulatory and client specific forms required to be completed by Operations.
  • Manage and schedule all incoming client rail car projects along with rail car storage facility.
  • Request information for incomplete shopping instructions from clients, compile and distribute internally.
  • Create and schedule outbound disposition in Class 1 railroad portals.
  • Update client portals with estimates, invoices, pertinent dates, regulatory forms, and other corresponding information.
  • Ensure all forms and documentation meet the regulatory and client requirements.
  • Create/send/upload estimates and communicate status to the Operations group.
  • Answer client inquiries about estimates, progress of work, and proposed completion dates.
  • Serve as liaison between operations, account managers, and clients.
  • Complete work order packets with proper documentation and pricing in accordance with the client and regulatory requirements.
  • Establishes and maintains effective communication and coordination with Operations, account managers and clients.
  • Communicate in a way the client can understand technical aspects of the business.
  • Manage work orders in VLS Rail operating system from order to cash:
  • Correspond with clients regarding additional services (blast, hydroblast, repairs, etc.) and provide updated pricing as needed along with gaining client approval.
  • Update pricing and work instructions in operation system using information provided by Operations.
  • Request required documents from 3rd party providers and upload to ensure compliance with AAR and FRA regulations.
  • Actively participate in feedback and post-job evaluation portions of all client work.
  • Ensure that all client and company policies are adhered to in the completion of the assigned projects.
  • Attends team and company meetings as needed.
  • Completes special projects and miscellaneous assignments as required.
  • Other duties as assigned.
