The Client Account Administrator is responsible for the day-to-day administration of employer-sponsored Flexible Spending Accounts (FSAs), including Medical and Dependent Care programs. This role plays a critical part in ensuring accurate posting and reconciliation of pretax contributions, maintaining clean and compliant data files, and serving as a primary point of contact for employer groups regarding contribution activity, payroll files, and data corrections. The ideal candidate demonstrates exceptional attention to detail, strong Excel skills, and the ability to communicate clearly and professionally with employer clients while managing high-volume, data-driven work. This is a Hybrid position.

Requirements

  • High school diploma required, associates or bachelor’s degree preferred
  • Experience in Microsoft office Suite (Excel, Word, Outlook). Advanced Excel knowledge is a necessity.
  • Data reconciliation skills.
  • Strong organizational skills.
  • Attention to detail and the ability to work efficiently under deadline pressure is essential.
  • Able to multitask, prioritize, and manage time efficiently.
  • Able to work in a fast-paced, team environment as well as independently.

Nice To Haves

  • Familiarity with a variety of insurance industry concepts, practices and procedures, preferred.

Responsibilities

  • Accurately post and reconcile pretax Medical FSA and Dependent Care FSA contributions based on employer payroll files
  • Review, validate, and troubleshoot employer contribution data to ensure compliance with Section 125 plan rules and internal administration standards
  • Work directly with employer groups to resolve contribution discrepancies, missing data, or file errors in a timely and professional manner
  • Manage and manipulate data files in Microsoft Excel, including sorting, filtering, validating totals, identifying variances, and ensuring correct formatting
  • Coordinate with internal teams (claims, customer service, finance, and systems) to ensure contribution data aligns with system records
  • Maintain detailed documentation of corrections, employer communications.
  • Monitor incoming files and contribution schedules to ensure timely posting and follow-up
  • Support month-end and year-end reconciliation processes and reporting as needed
  • Ensure compliance with Section 125 regulations
  • Provide clear, courteous communication to employer contacts via email and phone regarding contribution activity and resolution status
  • Invoices client for per participant per month fees
  • Processes claim repayments
  • Handles confidential information with sensitivity and discretion in accordance with HIPAA and Data Privacy laws and company data security requirements
