USD 109 Republic County Schools is looking for a Clerk of Board of Education with the following Qualifications: For Questions Regarding the position, please email the Superintendent at the District Office [email protected]. Location: District Office Purpose: To support effective school governance by maintaining accurate board records, management of the district’s budget, and ensuring clear communication between the board, staff, and community. Terms of Employment: 12 Month as established by the employment contract: Annual salary and paid monthly. Contract can be terminated at will with 2 weeks’ notice. Paid leave, vacation, and holidays are noted in the classified handbook. The Board Clerk is not on duty when the office is closed. Responsible to: Superintendent of Schools and USD 109 Board of Education Evaluation: Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of non-certified personnel. Qualifications: -High School diploma or equivalent required. -College degree or equivalent preferred; or three years related experience and/or training; or equivalent combination of education and experience. - Strong background in bookkeeping, accounting, business, English, and Mathematics. - Must have the ability to prioritize job tasks and meet established deadlines. - Have the ability to hear sufficiently to use a telephone. - Have the ability to use appropriate computer programs. - Able to work well with board members, employees, patrons, and other appropriate individuals or groups. - Able to respond to information requests in a courteous, timely, and helpful manner. - Able to be away from home one or more nights to attend board meetings and training sessions as assigned by the board or superintendent. - Understand confidentiality with school business, records, and personnel matters. - Desire to continue career improvement. Essential Functions: - Attends all board meetings, prepares, and distributes documents/material needed or requested for upcoming board meetings. - Help the board and superintendent comply with the open meetings law. Be aware of, and help the board comply with, all appropriate state and federal laws. - File all reports with appropriate agencies as required by law and/or regulation - Supervise the management of the financial affairs of the schools. - Acts as advisor to the superintendent on all questions relating to the business and financial affairs of the district. - Administers a budget control system for the district. - Assist with the development of the district budget. - Enter data and assist in setting up information for the District’s fiscal year Budget and submit Budget Report that was adopted by the District to Kansas State Department/County Clerk - Maintain/Update revised or new policies in the district approved handbook. - Comply with all board policies and regulations in the Classified Staff Handbook. - Assist the Superintendent and office personnel as needed. General Responsibilities: - Demonstrate punctuality. - Type board minutes and keep an accurate journal of the proceedings of all board meeting documentations. - Prepare a draft copy of minutes of each board meeting and distribute to board members as required by policy. - Maintain the permanent minutes and other appropriate board records. - Create agendas, letters, and other appropriate documents as requested by the board president. - Maintain federal program records as requested and request federal funds monthly. - Reconcile district board bank accounts monthly. - Supports and assists the HR/Payroll clerk as needed. - With the Superintendent's supervision, handle the district’s investments and maintain the securities pledges are sufficient. - Closing the fiscal year books in June. Responsible for completing the S066, Licensed personnel reports, KHPA Medicaid Cost reporting and other miscellaneous reports. - Ensure backups of the district’s accounting system are complete and current. - Process miscellaneous reports to KSDE and/or KASB - Assist in Notary Public duties - Typing/Copying/Faxing/ and performing other duties as directed by Superintendent or Board of Education Act as secondary employer representative for drug and alcohol testing for bus drivers. Schedulepre-employment and random testing. Perform other duties as may be assigned by the Superintendent of Schools. - Support the Mission and Vision of USD 109
