About The Position

The Clerical Specialist will provide clerical and administrative support to the Children’s Disability programs of Birth to Three, CCOP, and CLTS within Children, Youth, and Family Services (CYFS). This position will assist with data collection and entry, gathering information from internal and external partners, as well as providing technical assistance and support to contracted agencies. The Clerical Specialist is also responsible for communication with staff, partners, and providers across all programs.

Requirements

  • Current resident of the State of Wisconsin
  • High School Diploma or GED equivalent required
  • At least one (1) year of experience providing clerical, office support, and data entry required
  • Basic knowledge of reporting software required
  • Intermediate knowledge of Database concepts required
  • Advanced knowledge of all related computer and software applications, such as Microsoft Word, and Excel required

Nice To Haves

  • Associate degree or higher in Administrative Assistant or Information Systems
  • Be a team player with the ability to work harmoniously and effectively with co-workers and external contacts; oral and written communication skills. The position will have frequent contact with professionals across other departments and external entities to gather and/or give information in a confidential manner. Must have the ability to read, write, comprehend, and analyze documents, routine reports, and correspondences; proficient with word processing, data entry, and speak effectively before both internal and external groups.

Responsibilities

  • Provide customer services, address inquiries, and other essential duties. Monitor, review, sort, and handle program email and mailbox correspondence.
  • Review and approve invoices and remittances.
  • Assist with developing meeting agendas. Distribute agendas, take/distribute meeting notes and assist with leadership schedule. Support provider inquiries and children’s disability program agencies.
  • Collect data, enter and update in the County database ensuring confidentiality of all records.
  • Establish objectives to complete projects and special assignments. Determine priorities, manage time, gain support of other staff, monitor progress, resolve issues, and adjust plans.
  • Maintain inventories for all CYFS related products and goods, assist with newsletter, summer camps, and conferences. Operate office equipment such as laptops, printers, copiers, and fax. Participate in training as well as meetings.
  • Perform all other duties as assigned.
