The Clerical Medical Office Assistant position is part of the Specialty Health Care Department and is a full-time role working approximately 80 hours per two-week pay period. The standard schedule is 8:00 a.m. to 4:30 p.m., with flexibility required to accommodate practitioner schedules, vacations, and time off. This position plays a key role in supporting daily office operations by providing administrative, clerical, and patient support services. The Clerical Medical Office Assistant is responsible for ensuring a smooth patient experience through professional communication, organization, and attention to detail while assisting both patients and healthcare providers. Requirements

  • High school diploma or equivalent required.
  • Medical Office Assistant or similar training/experience required.
  • Strong computer skills and proficiency with office software; experience with Epic preferred.
  • Excellent oral, written, and interpersonal communication skills.
  • Ability to work independently with minimal supervision and make sound decisions under pressure.
  • Demonstrated tact, professionalism, and customer service excellence in all interactions.

Nice To Haves

  • Medical terminology and/or formal Medical Office Assistant training preferred.

Responsibilities

  • Greet and assist patients and visitors, determining needs and directing them appropriately.
  • Answer phone calls, schedule appointments, and obtain necessary pre-certifications.
  • Maintain patient charts and records, perform data entry, and manage filing systems.
  • Collect payments, process forms, and handle insurance-related documentation.
  • Assist practitioners with scheduling medical testing and coordinating patient care needs.
  • Order and maintain office and medical supplies.
  • Support office promotions, community outreach, and public relations activities as needed.
  • Perform general office duties including typing, report preparation, note taking, and record maintenance.
  • Deliver excellent customer service in all patient and staff interactions.
  • Adapt to changing schedules or priorities to support practitioner and department needs.
