CLERICAL ASSISTANT JOB SUMMARY The Clerical Assistant works under the general supervision of Human Resources leadership and provides comprehensive administrative support to the Cannon San Luis Obispo office team. This position supports all technical business units (engineering, surveying, and construction management) and administrative groups, including Human Resources, Marketing, Accounting, Operations, and IT, and works regularly with office employees at all levels, including managers, Directors, and reception staff. The role supports daily office operations by maintaining office and safety supplies, managing inventory, running errands, and handling filing, copying, archiving, and phone coverage. This role also serves as the central point of support for special projects submitted daily and weekly. This position plays an important role in supporting workplace culture by assisting with the planning, organization, set-up, participation in, and clean-up of company gatherings and team-building activities, including holiday-related events and employee birthday celebrations. In addition, the role supports Human Resources with onboarding preparation, pre-employment tasks, and coordination of larger company events with direction from Human Resources and Marketing. This is an on-site position and does not have the flexibility to work remotely.

Requirements

  • Minimum two years of experience in an administrative role within a professional office environment.
  • Work in-office, 40 hours per week, between 8:00am - 5:00pm.
  • Valid California driver’s license.
  • Access to a reliable personal vehicle, clean driving record, and current automobile insurance.
  • At least 21 years of age.
  • Safely lift and carry boxes and supplies weighing up to 35 pounds on a regular basis.
  • Ability to frequently bend, kneel, reach, push, pull, and handle materials as required to perform job duties.
  • Ability and willingness to assist with the planning and organization of in-office events and activities, including holiday-related events (i.e., Thanksgiving, Halloween, December Holidays) and employee birthday celebrations.
  • Intermediate proficiency in Microsoft Word, Excel, and Outlook.
  • Experience answering and routing calls using a multi-line phone system.
  • Strong time management skills and ability to prioritize multiple tasks, projects, and requests.
  • High attention to detail and accuracy.
  • Work independently with minimal supervision.
  • Build and maintain effective working relationships with individuals at all levels and with diverse working styles.
  • Type at least 40 words per minute.

Responsibilities

  • Performs general office and clerical duties to support daily operations, including filing, copying, archiving, word processing, and phone coverage.
  • Completes special projects submitted and assigned through the Clerical Request system for team members across the office.
  • Performs errands and off-site tasks as needed to support office operations and assigned projects.
  • Maintains workflow and coordinates administrative priorities while working regularly with team members at all levels, including managers, Directors, and reception personnel.
  • Manages inventory and stocks office, kitchen, safety, and marketing supplies.
  • Supports company events, meetings, training, and team-building activities, including planning assistance, set-up, participation, decorating, and clean-up for holiday-related events (i.e., Halloween, Thanksgiving, and birthday celebrations).
  • Provides administrative support to Human Resources, including pre-employment tasks, onboarding preparation for new hires, scheduling phone screens, travel arrangements, etc.
  • Maintains shared office areas, including kitchen and supply rooms.
  • Uses Microsoft Word, Excel, and Outlook to complete administrative tasks.
