About The Position

The Clerical Assistant - Health supports the Health Services Manager with tasks related to Head Start health requirements and licensing standards. This includes scheduling appointments, completing health screenings, tracking health documentation, communicating with medical/dental providers, assisting with health chart audits, and maintaining health-related supplies. The role also involves general clerical duties, data entry, scanning, record organization, and communication with families, staff, and community partners.

Requirements

  • High School Diploma or equivalent.
  • One year of office work experience.
  • Valid Ohio Driver's License and reliable, insured transportation.
  • Ability to pass BCI/FBI background checks.
  • Ability to file alphabetically (may require skills assessment).
  • Must meet all ODJFS/ODE and agency requirements, including: Physical exam and immunizations
  • 15 hours of annual training
  • CPR/First Aid
  • Communicable Disease and Child Abuse Prevention Training

Nice To Haves

  • One year of medical office experience.
  • Six months of experience working with low-income families.
  • Six months of experience in Early Childhood programs.

Responsibilities

  • Schedule health-related appointments for physicals and dental visits.
  • Scan health documents into ChildPlus.
  • Assist with home visits when needed.
  • Order and maintain health supplies.
  • Obtain and track children's health information.
  • Fax and follow up with medical and dental offices daily.
  • Inventory first aid kits and maintain needed supplies.
  • Conduct health chart audits quarterly and follow up on missing information.
  • Assist with vision and hearing screenings.
  • Assist with mass dental screenings.
  • Provide care for sick or injured children as needed.
  • Ensure all work is completed accurately, with attention to detail and timeliness.
  • Perform typing, word processing, copying, faxing, filing, and data entry in ChildPlus.
  • Answer phones in a professional manner, take messages when needed.
  • Order and maintain office supplies.
  • Maintain printer and copier paper supplies.
  • Collect and distribute mail daily.
  • Complete and assist with end-of-year file transitions.
  • Keep office and shared kitchen areas clean, according to rotation.
  • Greet visitors in a friendly, professional manner.
  • Participate in recruitment activities as assigned.
  • Assist with enrollment intake when necessary to maintain full enrollment.
  • Provide classroom break coverage if needed.
  • Maintain a positive, cooperative, team-focused work environment.
  • Maintain confidentiality in accordance with agency policy.
  • Follow all agency safety procedures.
  • Participate in program planning and monitoring activities.
  • Adhere to agency policies and procedures, state licensing rules, and Head Start Performance Standards.
  • Attend committee meetings as assigned.
  • Document relevant parent contacts in ChildPlus.
  • Encourage and support parent involvement activities.
  • Assist in maintaining facility security and inventory of supplies.
  • Complete additional duties as assigned to support program needs.
