Your Role: The administrative assistant supports the Claims team through a variety of administrative and customer service functions. This role helps ensure the smooth processing of claims and enhances communication between internal teams and customers.

Requirements

  • Flexibility: Be flexible and willing to take on additional assignments as needed while maintaining daily operations
  • Written communication: Draft and edit documents, emails and letters with accuracy and professionalism
  • Coverage: Review and handle emails during absences from the office to ensure continuity
  • Deadline management: Track deadlines and assist leaders in meeting all required timelines
  • Proactivity: Anticipate needs and take initiative - act proactively rather than reactively
  • Sensitivity: Be sensitive and responsive to leaders' needs and assist with miscellaneous projects as they arise
  • Professionalism: Maintain a positive attitude and professional approach in all interactions
  • Education: College degree or equivalent business/industry experience
  • Experience: Proficient in Microsoft Word, Excel, PowerPoint and Outlook
  • Knowledge: Excellent oral and written communication skills
  • Organization: Highly organized and efficient, able to multitask and prioritize effectively
  • Independence: Able to work independently and demonstrate strong initiative
  • Professionalism: Comfortable interfacing with leadership and peers

Responsibilities

  • Claim intake: Take new claim reports over the phone and assist callers with claims-related questions or direct them to the appropriate team
  • Payment processing: Support examiners by processing expense and loss payments accurately and efficiently
  • Customer correspondence: Communicate with customers to provide claim updates and pertinent information
  • Documentation: Prepare and send letters on behalf of the claims examiner
  • File management: Process zip files and maintain organized digital records
  • Reporting: Complete weekly and monthly Excel reports to support departmental tracking and analysis
