About The Position

Animal Friends of the Valleys (AFV) is the leading animal shelter for the cities of Temecula, Murrieta, Lake Elsinore, Menifee, Canyon Lake and Wildomar, and small parts of Riverside County. We are a 501(c)(3) non-profit providing top-quality animal welfare and animal control services for our client cities. Requirements

  • Ability to work independently and prioritize and complete admin and data entry during slower call volume periods
  • Ability to rapidly learn the Shelter's database system and maintain the training pace
  • Ability to speak with difficult clients in a calm and professional manner and resolve complaints
  • Ability to work in a high phone call volume environment
  • Ability to multi-task, prioritize, and take rapid, accurate notes and enter into database, particularly during periods of high call volume
  • Clerical, receptionist and administrative experience, particularly with high volume call environments
  • Ability to independently decide on proper actions in complex citations and licensing issues

Responsibilities

  • Phone calls – high volume incoming and outgoing phone calls
  • Maintains neat and organized files related to animal information and outcomes
  • Updates animal profiles and memos routinely and accurately to provide the best possible information for accurate files
  • Issues citations for “Failure to License” to dog owners in given geographic area
  • Verifies addresses for cities’ boundaries
  • Updates USPS notices and dog deceased status
  • Receives calls regarding citations and completes license if possible
  • Extends citation due dates if needed and possible
  • Waives and removes fees if license was obtained by correct date or if animal is now deceased
  • Locates citations in Shelter Pro software
  • Looks for past due accounts from citations or for any other monies owned.
  • Receives dispute letters and review for removal.
  • Receives payments, applies to accounts and adjusts payments if needed.
  • Sets repayment plans for past due fees before they are sent to collections
  • Explains to dog owners how fees will be collected
  • Processes licensing requests through licensing online portal
