About The Position

JOB SUMMARY: The CISPA Experience Coordinator (CEC) provides administrative and operational support across several core functions of Communities in Schools of Pennsylvania, including human resources administration, fundraising support, financial management, and office operations. This role plays a key part in ensuring that CISPA’s internal systems and day-to-day operations run smoothly. The CEC supports recruitment and onboarding processes, assists with HR systems and documentation, coordinates administrative workflows, and provides logistical support for fundraising and organizational activities. The CEC works closely with staff across multiple departments and serves as a central administrative resource for the organization. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining a high level of professionalism and confidentiality.

Requirements

  • A bachelor’s degree is required.
  • A minimum of 2 years of employment with CISPA is required.
  • Strong organizational and administrative skills with attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality when handling sensitive employee and organizational information.
  • Comfort learning and using administrative software systems (NetSuite, Raiser’s Edge NXT, Instrumentl, Microsoft)

Responsibilities

  • Provide administrative support for CISPA’s human resources functions.
  • Assist with recruitment processes, including posting positions, scheduling interviews, coordinating candidate communications, and supporting hiring logistics.
  • Support employee onboarding processes by preparing documentation and coordinating orientation materials.
  • Maintain personnel records and employee files in accordance with organizational policies and compliance requirements.
  • Assist with payroll preparation and PTO tracking through CISPA’s HRIS
  • Support HR documentation, reporting, and internal recordkeeping
  • Support day-to-day office operations, including opening and distributing mail, receiving packages, and coordinating outgoing mailings.
  • Assist with select finance processes.
  • Assist with logistical coordination for staff meetings, retreats, board meetings, and other organizational gatherings.
  • Maintain administrative systems and workflows that support efficient office operations.
  • Coordinate office supplies, vendors, and general administrative needs.
  • Provide administrative support to leadership as needed.
  • Provide administrative support for CISPA’s fundraising and advancement activities.
  • Assist with grant research and submission logistics.
  • Prepare and distribute donor acknowledgement letters as needed.
  • Support logistical planning for fundraising events and sponsorship activities.
  • Support internal coordination across departments to ensure effective communication and workflow management.
  • Assist with tracking deadlines, coordinating calendars, and supporting project management tasks.
  • Provide administrative support for organizational initiatives and special projects as assigned.
