About The Position

BAO Consulting Group is seeking a Chief of Staff to serve as the operational right hand to the Executive team. This is not a traditional administrative role — and it is not a pure strategy role either. It is both. The right candidate is someone who can draft a client proposal in the morning, manage vendor relationships in the afternoon, and make sure the Dallas office runs without friction in between. You are highly organized, commercially aware, discreet, and energized by the variety that comes with working at the center of a fast-growing boutique advisory firm. You will support the firm's business development efforts, own internal operations, and ensure that leadership's time and attention is always focused where it matters most.

Requirements

  • 5–8 years of progressive experience in a chief of staff, executive operations, BD coordinator, or similar hybrid role — ideally within a professional services or consulting environment
  • Proven ability to manage up, manage across, and manage direct reports simultaneously
  • Exceptional written communication skills — you can write a crisp executive email and a polished client proposal with equal confidence
  • Strong project management instincts; highly organized with meticulous attention to detail
  • Commercial awareness and the ability to engage credibly with BD and client development activities
  • Discretion and professionalism when handling confidential firm and personnel matters
  • Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), CRM tools, and modern collaboration platforms
  • Comfortable working in a fast-moving, ambiguous environment where priorities shift and no two days are the same
  • Bachelor's degree in Business, Communications, Finance, or a related field

Nice To Haves

  • Prior experience at a boutique consulting, advisory, or professional services firm
  • Exposure to proposal writing, credentials development, or marketing in a B2B services context
  • Experience managing or mentoring administrative or operational support staff
  • Familiarity with Zoho CRM, Rippling, or similar platforms used in BAO's tech stack

Responsibilities

  • Serve as a direct extension of the Executive team — anticipate needs, remove friction, and ensure follow-through on all leadership priorities
  • Oversee scheduling, travel coordination, and executive calendar management
  • Prepare the Executive team for meetings, calls, and client interactions — briefings, talking points, and follow-up documentation
  • Own leadership communications: draft internal announcements, firm updates, and executive correspondence
  • Attend leadership meetings, capture decisions and action items, and drive accountability on follow-through
  • Manage confidential and sensitive information with the highest level of discretion
  • Support BD efforts across the full pipeline: research target accounts, prepare outreach materials, and coordinate follow-up cadences
  • Own proposal and RFP coordination — draft, format, and manage review cycles for client-facing proposals and credentials decks
  • Maintain and update BAO's proposal library, case study repository, credentials deck, and BD collateral
  • Track inbound and outbound leads; maintain CRM hygiene and pipeline reporting in coordination with BD and leadership
  • Conduct market research and competitive intelligence to support pursuit strategies and new service line development
  • Coordinate and prepare materials for client presentations, pitches, and conference appearances
  • Own special projects assigned by the Executive team — from firm-wide initiatives to one-off research or analysis requests
  • Monitor and triage inbox as directed; draft responses and route items appropriately
  • Manage expense reporting and reconciliation for the Executive team and senior leadership
  • Coordinate with BAO's external partners including legal counsel, accountants, and technology vendors
  • Identify operational inefficiencies and proactively recommend and implement improvements
  • Flex into any area of the business where leadership needs support — this role is defined by what the firm needs, not a fixed job description
