We’re looking for a Fractional Chief of Staff to bring structure, accountability, and operational excellence to every part of Parallel Bio as we scale. This is a high-impact role for someone who thrives at translating strategy into action—designing systems that help a fast-moving team execute and deliver results. You'll be the connective tissue across leadership and teams, ensuring that what we decide actually gets done. You’ll drive the rhythm of the organization: setting sprint cadence, ensuring tasks have owners, and holding teams accountable for measurable outcomes. You’ll partner across functions to make sure cross-functional projects move forward—on time, on track, and with clear visibility into progress and blockers. You’re an expert in tools like Asana, Notion, and Slack and know how to use them not just for organization, but for alignment, visibility, and momentum. Requirements

  • Experience: 5+ years supporting senior leadership or operations in at least two startups or high-growth teams in biotech, deep tech, or science-driven environments.
  • Tool Mastery: Deep expertise in Asana (task design, dependencies, boards), Notion (documentation systems, dashboards), and Slack (automation and integrations).
  • Structured Thinking: You’re wired to bring clarity and order—breaking big goals into trackable milestones.
  • Execution Mindset: You don’t just plan; you ensure progress happens and deliverables are met.
  • Clear Communication: You write and speak with influence, enabling alignment without micromanagement.
  • Start-up Agility: Comfortable with ambiguity, you make fast, pragmatic decisions and keep others moving forward.

Responsibilities

  • Design and manage the cadence of leadership meetings, project sprints, and progress reviews.
  • Build accountability systems in Asana to ensure initiatives have clear ownership, scope, and timelines.
  • Keep priorities visible and current, surfacing blockers early and ensuring follow-through on commitments.
  • Partner with leadership to translate company goals into actionable project plans.
  • Ensure cross-functional projects move forward by coordinating dependencies, clarifying ownership, and tracking deliverables.
  • Facilitate alignment across Science, Technology, Operations, and Executive teams.
  • Centralize decisions, documentation, and updates in Notion and streamline communication via Slack.
  • Audit and refine how we use Asana, Notion, and Slack to ensure they work together seamlessly.
  • Develop dashboards to track progress and metrics across company-wide initiatives.
  • Implement workflows that reduce noise and optimize information flow between functions.
  • Support founders in prioritization, planning, and maintaining organizational focus.
  • Coordinate critical initiatives spanning multiple functions, tracking progress and outcomes end-to-end.
  • Step in to own high-priority special projects as the company evolves.
