About The Position

This Position is responsible for managing and administering charitable giving, donation requests, and sponsorship programs on behalf of the Siletz Tribal Charitable Contributions Advisory Board. The role also involves building, strengthening, and maintaining strong professional relationships with Tribal Council, community partners, nonprofit organizations, schools, and other interested parties. This position serves as the dedicated Coordinator to support the Siletz Tribal Charitable Contributions Advisory Board. This position will also be a key administrative and communications role in coordinating the grant applications organization, board functions, government communications and public engagement for the STCCF program.

Requirements

Bachelor's degree in business administration, Public Relations or similar, and two years' experience in community outreach or non-profit experience - OR - an equivalent combination of education and/or experience.
Knowledge of:
Charitable giving practices, tribal governance, and donor stewardship.
Grant writing, reporting, and compliance requirements in a tribal or nonprofit context.
Excellent written, verbal, and interpersonal communication skills, with cultural sensitivity and respect for tribal traditions.
Understanding of event planning principles and the organizational skills needed to coordinate logistics, outreach, and scheduling.
Knowledge of and sensitivity to Native American Culture required.
Professional communication practices, including grammar, punctuation, and etiquette, particularly in customer service and stakeholder interactions.
Experience in:
Microsoft Office Suite (Word, Excel, PowerPoint, and database applications), with the ability to create documents, manage spreadsheets, and use data effectively in program reporting and planning.
Record keeping, maintaining detailed files, producing progress reports, and managing budgets.
Experience building partnerships with a range of stakeholders, including public agencies, nonprofits, and community organizations.
Ability to:
Demonstrate strong written, verbal, and interpersonal communication skills, with an emphasis on professional, respectful engagement across a variety of audiences.
Work comfortably with diverse groups, including Tribal Council, Tribal members, Tribal elders, non-profit organizations, the State of Oregon, and the public.
Stay highly organized, work independently, and exercise sound judgment in decision-making.
Other:
Must be able to travel occasionally outside of the Siletz area.
Must be eligible to drive a GSA vehicle, have a driver’s license and maintain automobile insurance.

Responsibilities

Coordinates and attends four quarterly board meetings, taking minutes and providing technical assistance as needed.
Maintains communications and updates STCCF Board as needed.
Represents the Fund and Board at meetings and events upon request.
Provides application information and technical assistance to grant seekers.
Maintains website content with accurate and up to date information and documents.
Reviews and evaluates applications, including eligibility and guideline review.
Requests and gathers additional information as needed for clarification of applications.
Reviews and summarizes applications for database and board distribution.
Maintains database awardee records, evaluations and reports for compliance and appropriate use of funds.
Prepares Tribal Council packets and attends Tribal Council meetings to obtain final approval of quarterly award recommendations.
Responsible for issuance of award and denial letters to applicants.
Responsible for gathering, compiling and distributing the annual charitable fund report to Advisory Board, Tribal Council, Oregon State Governor, the Oregon State Police Super Intendent and the general public.
Receives and reviews requests from awardees for use of unexpended funds. If the amount is less than 25% of the original grant the amount can be awarded by the Administrative Assistant if for the same approved activity. Requests for unexpended funds that are more than 25% are forwarded to the Board for review and approval or denial.
Monitors, manages, and evaluates the fiscal performance to assure that funds are expended to the best advantage possible.
Prepares and processes expenditure documents (check requests, purchase orders, travel forms, etc.).
Maintains budget, cuff account.
Develops and maintains contacts with individuals and organizations.
Coordinates with local funders for information sharing.
Promotes a positive organizational and personal image and is available to the nonprofit community, including applicants, potential applicants and the community.
Conducts grantee site visits to consult with the organization and assess their program application.
May perform variety of other duties as needed to meet goals of Board and Tribal Council.
