The Chapel Administrative Assistant provides comprehensive administrative support to the Base Chapel, including technical writing, document editing, and preparation of presentation materials. The assistant also helps in coordinating schedules, managing resources, and serving as a liaison between the Chapel and other base entities. This is a full-time position and will work an average of 40 hours per week, Monday through Friday, excluding Federal Holidays. Scheduled hours must be coordinated with the Contracting Officer Representative and the Wing Chaplain.

Requirements

  • Strong organizational, communication, and technical writing skills.
  • Ability to manage social media platforms and handle scheduling responsibilities.
  • Prior experience in an administrative support role, preferably within a military or religious setting, is advantageous.

Responsibilities

  • Provide technical writing, proofreading, and editing for various documents.
  • Prepare graphical and narrative presentation materials as needed.
  • Assist in the preparation of management plans and reports.
  • Coordinate schedules to facilitate the completion of proposals, contract deliverables, and presentations.
  • Schedule regular office hours at the Base Chapel and other designated locations.
  • Manage and organize resources to efficiently meet task objectives and explore new approaches where applicable.
  • Act as a liaison between the Wing Chaplain, other chaplains, religious affairs airmen, contractors, and senior leadership at Team Hurlburt.
  • Create and submit memorandums for records and take minutes at weekly staff meetings.
  • Maintain and update staff rosters, recall rosters, funeral rosters, and other necessary documents.
  • Serve as the primary social media manager for all Chapel-associated pages.
  • Manage facility scheduling for internal and external customers, ensuring the readiness of the Chapel facilities for use.
  • Operate as a customer service representative, answering phones, providing information, and assisting visitors.
