About The Position

The Illinois Department of Corrections is looking for a professional Executive Secretary III to serve as a confidential Administrative Secretary to the Warden. The person selected for this position will be responsible for conducting special projects by gathering data, acts independently within established policies and procedures, keyboards correspondence, memos, and reports. Requirements

  • Requires knowledge, skill and mental development equivalent to completion of two (2) years secretarial or business college and three (3) years of secretarial experience OR completion of high school and five (5) years secretarial experience.
  • Requires the ability to type accurately at 55 wpm.
  • Requires ability to pass the IDOC/IDJJ background check
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.

  • Prefers at least six (6) years of professional experience composing confidential memos, files, and records.
  • Prefers at least six (6) years of professional experience coordinating workflow of a supervisor.
  • Prefers at least six (6) years of professional experience serving as a receptionist.

Responsibilities

  • Serves as an administrative secretary.
  • Prepares and keyboards documents of a confidential nature including minutes of executive staff meetings and labor management meetings.
  • Coordinates workflow to and from the Warden's Office.
  • Serves as a receptionist.
  • Establishes and maintains files for the Warden's Office.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
