About The Position

The Catering Services Administrative Associate serves as the first point of contact for Forty Acres Catering, providing exceptional front-line customer service and administrative support. This position plays a key role in supporting daily operations by greeting guests coming to the office, managing incoming calls and emails, maintaining a clean and welcoming front office space, assisting with basic catering logistics, and handling essential clerical and operational tasks.

Requirements

  • At least 5 years of clerical experience with a High School Diploma, or at least 1 year of experience at the Administrative Assistant level with a Bachelor's Degree.
  • Relevant education and experience may be substituted as appropriate.

Nice To Haves

  • Experience in food service, catering, or hospitality environments.
  • Knowledge of procedures for maintenance, fleet, or inventory requests.
  • Familiarity with work order systems and scheduling tools.
  • Experience with Microsoft Teams and/or Box.
  • Experience with Spoonfed, or other similar beverage event order system.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel).
  • Strong communication and interpersonal skills.

Responsibilities

  • Serve as the first point of contact for guests, clients, and vendors for Forty Acres Catering front desk.
  • Answer and route incoming phone calls, provide information about catering services, and direct inquiries to appropriate team members.
  • Respond to email inquiries with professionalism and courtesy in a timely manner.
  • Print and prepare catering labels for events.
  • Submit Maintenance Request Forms (MRFs) for office equipment, vehicles, or facilities issues.
  • Submit IT tickets as needed.
  • Support basic printer maintenance and coordination of service requests
  • Assist with submitting and tracking vehicle fleet maintenance or service needs.
  • Perform simple drop-off deliveries on campus for catering orders when needed.
  • Enter weekly and monthly inventory.
  • Assist with student interviews conducted by Catering Supervisor.
  • Maintain cleanliness and organization of the front office and shared common areas.
  • Monitor inventory and order office supplies to ensure adequate stock for daily operations.
  • Organize storage of printed materials, supplies, and catering packaging items.
  • Other duties as assigned.
