About The Position

The position involves working with assigned clients from initial inquiry through event execution, providing event coordination and hospitality. The role requires effective communication of policies, procedures, pricing, and contract specifications to clients for catered functions, relaying event information to appropriate interdepartmental personnel, providing tours to prospective clients, and collaborating with management on forecasting and special projects.

Requirements

  • Three (3) years of related catering sales or coordinating experience.
  • Strong competency in Microsoft Office software.
  • Exceptionally knowledgeable about food and beverage trends, pairings, and event planning management.
  • Ability to communicate effectively with guests, employees, owners, and management.
  • Occasional local travel to other properties may be required.
  • Specific vision abilities required include close vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Must occasionally lift and/or move up to 10 pounds.

Nice To Haves

  • Bachelor's degree in hospitality or business management is preferred.

Responsibilities

  • Maintains an in-depth knowledge of facilities, menus, vendors, and operations.
  • Follows up on assigned inquiries concerning catered functions.
  • Plans and coordinates event details such as space requirements, time schedule, food service, and event design with clients and with facility department heads.
  • Serves as event coordinator and/or convention advisor during events to minimize confusion and resolve problems.
  • Continuously provides clients with up-to-date estimates on contracted food, beverage, and services.
  • Accurately reviews event information at interdepartmental meetings.
  • Arranges and oversees client tastings to ensure culinary and operational information is accurately gathered and disseminated.
  • Assists Sales Team in soliciting new business through written communications, telemarketing, tradeshows, and entertaining.
  • Assists management in forecasting, prospecting, rebooking, and special projects.
  • Creates, maintains, and distributes in-house event orders, diagrams, and other event information for food and beverage operations.
  • Maintains organized sales files and assists the sales team with event file creation.
  • Creates and distributes event orders for concessions department and rental equipment to sister properties.
  • Collects and tracks event deposits and receivables.
  • Works with management to create, maintain, and update catering and custom menus.
