We are seeking a proactive and detail-oriented Catering Sales Administrator to support our catering sales and operations teams. This role is essential in ensuring seamless execution of catering orders, maintaining accurate records, and providing outstanding customer service. The ideal candidate is a self-starter who thrives in a remote environment, can manage multiple priorities, and brings experience in administrative support and customer interaction.

Requirements

  • Professional phone presence with strong verbal and written communication skills
  • Ability to assess incoming requests and triage appropriately
  • High level of attention to detail and organizational skills
  • Demonstrated ability to multi-task and prioritize in a fast-paced environment
  • Comfortable with new technology and adaptable to system updates
  • Ability to work independently with minimal supervision while managing time effectively
  • Strong understanding of sales tracking and reporting
  • Ability to work independently and as part of a team
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)

Nice To Haves

  • Prior experience working with catering and sales systems (Microsoft Dynamics, Front, Outlook, Monkey, ZoomInfo, etc.)

Responsibilities

  • Understand customer needs and coordinate appropriate catering solutions
  • Partner with operations teams to ensure successful execution of catering orders, including updates, store load management and guest recovery
  • Manage order entry, generate quotes, and maintain standing orders
  • Monitor and address issues with current orders, unaccepted orders and same-day requests
  • Determine responsibilities and proper escalation to resolve issues
  • Communicate with team members and follow through to complete resolution
  • Review all catering survey results and escalate as needed
  • Conduct payment reviews and coordinate credit card or house account updates
  • Review outstanding balances on house accounts and communicate due payments
  • Review and enter tax exemptions
  • Support new store openings (NSOs) through outreach and organization
  • Maintain up-to-date tasks and notes within the CRM/Monkey
  • Create SOPs based on role duties
  • Attend meetings and document notes as needed
  • Manage third party portals and menu updates
  • Additional assignments based on business need
