About The Position

In this role, you will serve as a key member of the Executive Dining and Conference Services team, responsible for coordinating and executing catering services that support meetings, events, and executive engagements across the New York office. The Catering Coordinator acts as a central liaison between clients, conference services, culinary teams, and operational partners to ensure that all catering requests are delivered with precision, professionalism, and a high standard of hospitality. You will manage the end-to-end coordination of catering orders—from intake and planning through execution and post-event follow-up—ensuring accuracy, timeliness, and alignment with client expectations. This role requires strong attention to detail, proactive communication, and the ability to manage multiple priorities in a fast-paced, high-touch corporate environment. The Catering Coordinator will also play an important role in maintaining service standards, anticipating client needs, and ensuring seamless delivery of food and beverage services for both routine meetings and high-profile events. Success in this role requires collaboration with cross-functional partners including conference services, workplace services, culinary teams, and facilities to create a polished and consistent client experience.

Requirements

  • Proficient in Microsoft Office Suite and Rendezvous.
  • Highly punctual, responsible, and reliable.
  • Excellent customer service and organizational skills.
  • Ability to work well independently and under pressure in a fast-paced corporate environment.
  • Maintain a consistently professional approach, with a willingness to take ownership and responsibility both within and outside one’s job domain.

Responsibilities

  • Brews coffee for the executive suite every morning.
  • Ensure daily fruit delivery is on time and fresh.
  • Work closely with the Executive Dining Manager to ensure all standards are met.
  • Inspects all items before they are placed in the meeting rooms
  • Create a standard checklist for buffet set ups
  • Ensures all chairs are at the same level when not in use.
  • Hand Sanitizer and Tissue boxes are full and placed in each conference room.
  • Maintains presence on floor to ensure that functions flow smoothly and without incident.
  • Assists with room set-ups and meeting logistics to ensure the best client experience for all meetings.
  • Ensures meal periods of events are set up on time and to predetermined standards for all TIAA floors.
  • Provides prompt and accurate resetting, refreshing, and turning of meeting rooms as necessary in the conference center.
  • Ensures all equipment (tables, chairs, etc.) utilized for meetings are of the best repair while identifying and reporting issues to maintenance for any non-functioning items.
  • Required to stay for after-hours catering events.
  • Place work orders for after-hour events for HVAC and cleaning.
  • Exhibits exceptional communications skills and demonstrates the ability to get along well with others. Remains flexible and patient when communicating with guests and staff.
  • All other tasks assigned by the Manager as needed.
