Our rapid growth and breadth of accounts translates into exciting opportunities for our people!Job SummaryThe Catering Coordinator supports the planning and execution of on-site and off-site catering events. This role focuses on event coordination, administrative support, and sales assistance, requiring strong attention to detail, organization, and communication. The coordinator ensures accurate information flow between clients, vendors, and internal teams while managing multiple events simultaneously. This is a Monday through Friday position with a varying schedule and includes free meals and parking, along with a cell phone and public transportation stipend. Uniforms and shoes are provided.

  • Proficiency in Microsoft Office including Word, Excel, PowerPoint, and Outlook
  • Ability to work a flexible schedule based on business needs
  • Bachelor’s degree in Hospitality, Marketing, or related field preferred

Responsibilities

  • Manage event data from inquiry through execution, including scheduling, guest counts, and logistics
  • Prepare detailed event documents such as function sheets, equipment orders, and rental needs
  • Create and distribute event packets including staffing plans, setup details, and service materials
  • Produce event signage, menus, and supporting materials as needed
  • Maintain organized event files including proposals, contracts, invoices, and correspondence
  • Process client inquiries and gather all relevant event details
  • Develop event proposals and coordinate staffing requests
  • Support sales and marketing efforts through research, communication, and promotional initiatives
  • Assist with client site tours and provide on-site support during events
  • Manage deposits, invoicing, and financial tracking for events
  • Partner with accounting to ensure accurate forecasting and reporting
  • Coordinate scheduling, meetings, and administrative tasks as needed
