Job SummaryPosition Summary The Catering Coordinator s supports the planning, coordination, and execution of catering events from initial client contact through event completion and post-event follow-up. This position assists in maintaining strong client relationships, coordinating event logistics, managing catering documentation, and ensuring high standards of service, food safety, and operational efficiency. This position is seasonal and layoffs may occur

Responsibilities

  • Assist in building and maintaining positive relationships with catering clients and internal stakeholders
  • Support catering sales through client communication and follow-up
  • Collaborate with clients to plan menus and event logistics
  • Prepare preliminary event quotations and assist with event proposals
  • Maintain client databases and accurate records
  • Conduct post-event follow-ups and gather feedback
  • Assist in coordinating catering events from order placement through delivery and completion
  • Prepare Banquet Event Orders (BEOs) and event documentation
  • Support event setup, service coordination, and breakdown
  • Attend large or complex catered events as required
  • Maintain accurate event records and billing documentation
  • Ensure events are billed and invoiced correctly
  • Track accounts payable invoices and event expenses
  • Maintain inventory records for catering supplies and equipment
  • Ensure compliance with food safety and sanitation standards including HACCP
  • Maintain cleanliness and organization of catering equipment and service areas
  • Ensure proper food handling and transportation
  • Collaborate with team members to ensure full compliance with goals.
  • Participate in departmental planning meetings
  • Assist with food preparation, delivery, or service when required
